Who is this best for?

  • Hosting providers and domain registrars using WHMCS for support.

  • Automation specialists looking for advanced AI-driven n8n templates.

  • Businesses wanting to streamline their live chat support into a formal ticketing system.

  • Users who need a smart, context-aware n8n node setup for conversational agents.

Overview

Managing high volumes of customer chat queries and manually creating support tickets is time-consuming and prone to human error. This comprehensive n8n workflow solves this by deploying a specialized AI Agent capable of holding conversations, extracting critical data (like email, subject, and priority), and automatically creating professional support tickets in WHMCS.

This specific n8n workflow ensures high data quality by forcing the AI to first fetch valid department IDs using the WHMCSGetSupportDepartments tool before using the WHMCSOpenTicket tool. This level of constraint makes the automation highly reliable. By utilizing a Langchain AI Agent, this n8n automation provides contextual memory, allowing the bot to ask follow-up questions if details are missing, leading to better customer service and faster resolution times.

How it Works

This automation begins instantly when a new chat message is received, acting as the primary n8n trigger.

  1. Chat Trigger: The When chat message received n8n node starts the n8n workflow upon receiving a new incoming message from the connected chat service.

  2. AI Orchestration: The message is passed to the AI Agent n8n node, which uses the sophisticated instructions provided in its system prompt. The agent's core instruction is to convert the informal chat request into structured WHMCS ticket data.

  3. Context and Language: The agent utilizes the Google Gemini Chat Model for its reasoning capabilities and the Simple Memory n8n node to maintain conversational history, enabling polite follow-up requests if critical information is missing.

  4. Tool Check (Departments): The agent first executes the WHMCSGetSupportDepartments tool. This HTTP Request n8n node securely retrieves the list of valid department IDs from WHMCS, ensuring the AI can map the customer's request to a real, available support queue.

  5. Ticket Creation: Once the AI has gathered all necessary information (validated department ID, subject, message, customer name, email, and priority), it executes the WHMCSOpenTicket tool. This second HTTP Request n8n node posts the clean, structured data directly to the WHMCS API, creating a new support ticket.

  6. Response: The AI Agent finally responds to the user in the chat, confirming the successful creation of the support ticket, leveraging the conversational power inherent in this advanced n8n workflow.

Installation Guide

To deploy this specialized n8n workflow template, follow these steps:

  1. Import: Copy the provided JSON data and paste it directly into your n8n canvas using the 'New' -> 'Import from JSON' function.

  2. WHMCS Credentials: This n8n workflow requires authentication for your WHMCS API. Set up the WHMCSQueryAuth HTTP Custom Auth credentials. This usually involves defining your WHMCS username, password (or API key/identifier pair), and access hash within the custom credential settings.

  3. Chat Trigger Setup: Configure the When chat message received n8n trigger node to connect to your preferred chat platform (e.g., Slack, Telegram, custom webhook). You will need to activate the trigger and handle any necessary webhook setup.

  4. Update WHMCS URLs: Edit the WHMCSOpenTicket and WHMCSGetSupportDepartments HTTP Request n8n node tools and replace https://WHMCS_URL.com/includes/api.php with your actual WHMCS API endpoint.

  5. Activate: Once credentials and endpoint URLs are configured, set the n8n workflow to 'Active' to start automating.

Node Details

When chat message received (n8n trigger): This is the starting n8n trigger for the entire automation, listening for incoming messages on the configured chat platform.
AI Agent (Langchain n8n node): The core logical unit. It orchestrates the flow, manages the conversation using Gemini, and decides when to call the WHMCS tools to fulfill the support request. The system message contains highly detailed instructions for ticket structuring.
Google Gemini Chat Model: Provides the large language model capabilities required for complex reasoning, text generation, and data extraction within the n8n workflow.
Simple Memory: Maintains the conversation history across multiple turns, allowing the AI Agent to ask follow-up questions and remember previous context.
WHMCSGetSupportDepartments (HTTP Request Tool n8n node): Functionally, this retrieves the list of valid deptids from WHMCS. The AI Agent is programmed to call this first to ensure ticket validity.
WHMCS
OpenTicket (HTTP Request Tool n8n node): This is the final action. It uses the data extracted by the AI Agent (Subject, Message, Priority, Name, Email) and sends it to the WHMCS API using action=OpenTicket to successfully create the support entry.
