Who is this best for?

Customer Experience (CX) Managers seeking real-time feedback processing.
E-commerce businesses using Jotform for post-sale surveys.
Technical users looking for advanced n8n templates integrating OpenAI and external forms.
Automation specialists needing an immediate, personalized response mechanism for negative feedback.

Overview

Handling customer feedback efficiently is critical but often time-consuming. This comprehensive n8n workflow solves the scalability problem by instantly processing new Jotform submissions, eliminating manual sorting, and automating the initial customer contact.

Upon submission, the workflow leverages advanced OpenAI integration (GPT-4.1-mini) to instantly classify sentiment and identify the root cause of the feedback. This structured data is then used by the n8n node structure to intelligently route the process. Negative feedback triggers an immediate, personalized recovery email generated by the AI, and alerts the internal CX team via Slack. Positive feedback triggers an appreciation email with a review call-to-action. All actions and analysis results are meticulously logged into Google Sheets, making this a robust example of a transactional n8n workflow for customer service.

How it Works

This n8n workflow begins with a successful trigger and follows two distinct paths based on the feedback quality.

  1. Trigger and Data Preparation: The process is initiated by the Jotform n8n trigger upon a new form submission. The subsequent Set n8n node standardizes the raw data (names, emails, ratings, feedback text) for consistent use across the entire n8n workflow.

  2. AI Sentiment Analysis: An OpenAI n8n node (using GPT-4.1) analyzes the structured feedback, outputting a JSON object containing the Sentiment (Positive/Negative/Neutral) and the RootCause of the experience.

  3. Conditional Routing: An If n8n node checks if the Sentiment is 'Negative' OR the Rating is less than or equal to 3. This crucial step splits the n8n workflow into two specialized branches.

  4. Negative Path (Recovery): If the condition is met, a second AI n8n node generates a highly personalized, empathetic recovery email body and subject line. This content, along with the detailed feedback and analysis, is compiled using a Set n8n node.

  5. Execution (Negative Path): This branch simultaneously appends all comprehensive data to a Google Sheet using a Google Sheets n8n node, sends the AI-drafted recovery email via the Email Send n8n node, and notifies the internal team about the critical issue using a Slack n8n node. Finally, a Google Sheets n8n node updates the original row to confirm the recovery message was sent.

  6. Positive Path (Appreciation): If the feedback is positive or neutral, the flow compiles the data and simultaneously logs it to Google Sheets and sends a pre-formatted appreciation email (containing a link to leave a public review) using the Email Send n8n node.

Installation Guide

To deploy this powerful n8n workflow template, follow these steps:

  1. Import the n8n workflow: Copy the provided JSON and paste it into your n8n canvas via the 'New' button or the 'Import workflow' option.

  2. Jotform Credentials Setup: Create a new JotForm API credential in n8n with Full Access and connect it to the initial Jotform n8n trigger node. Ensure your Jotform fields match the labels specified in the sticky notes within the workflow to ensure data mapping works correctly.

  3. OpenAI Integration: Set up or select your existing OpenAI API credential, ensuring it has access to models like GPT-4.1-mini (or GPT-4/GPT-3.5).

  4. Google Sheets Setup: Create a Google Service Account credential. Update the Document ID in both Google Sheets n8n node instances (Log Feedback & Mark Recovery Sent) to point to your tracking sheet.

  5. Email & Slack: Configure your SMTP credentials for the Email Send n8n node (for both recovery and appreciation emails) and set up Slack credentials, specifying the target channel name (e.g., #customer_feedback) in the Slack n8n node.

  6. Activate: Test the entire n8n workflow, save it, and set the n8n trigger node to 'Active'.

Node Details

Jotform Trigger (Jotform n8n trigger): The starting point. It listens for new feedback submissions on a specified form ID, acting as the primary n8n trigger for the automation.
AI Analysis — Sentiment & Root Cause (OpenAI n8n node): Uses a complex system prompt instructing GPT-4.1 to analyze the customer experience and return sentiment, root cause, and recovery direction in a strict JSON format.
Check if Feedback is Negative or Rating ≤ 3 (If n8n node): The core control flow node. It evaluates incoming data to determine if the negative feedback loop should be activated (Sentiment = Negative OR Rating ≤ 3).
AI Generator — Personalized Recovery Message (OpenAI n8n node): This secondary AI n8n node consumes the analysis results and customer context to draft a tailored, empathetic email response, ready to be sent.
Log Feedback in Google Sheet (Google Sheets n8n node): Appends all raw feedback, AI analysis results, and message details to a centralized spreadsheet, serving as the system of record for this n8n workflow.
Send Recovery Email (Email Send n8n node): Executes the critical recovery action by sending the AI-generated email body and subject via SMTP to the affected customer.
