Who is this best for?

  • Businesses looking to automate first-line customer support via SMS.

  • Developers needing a robust, self-hosted, AI-driven conversational system.

  • Users searching for comprehensive n8n templates integrating database management and large language models.

  • Teams requiring automatic human escalation based on customer sentiment.

Overview

This comprehensive n8n workflow transforms standard SMS communications into an intelligent, data-rich conversational support channel. It solves the problem of high-volume, repetitive support inquiries by leveraging large language models (like GPT-4) to understand customer intent, automatically enrich data records, and provide instant, contextual replies. Crucially, the n8n logic ensures that frustrated or urgent messages are immediately flagged, escalated to a human team member (via email/SMS alert), and logged in a PostgreSQL database for full auditability. This powerful n8n setup acts as a multi-stage AI agent, managing everything from user verification to transcript archiving on S3.

How it Works

The entire process is managed by multiple linked n8n workflows, triggered by different events:

  1. Verification & Session Start: The flow begins with a webhook n8n trigger for signup. A verification code is generated, stored in PostgreSQL, and sent via Twilio. A subsequent webhook trigger validates the code and, if successful, creates a persistent usersessions record in the database, initiating the conversational phase.

  2. Incoming SMS Processing: When a user sends a message, a Twilio webhook acts as the main n8n trigger. The message data is extracted and the current session context is retrieved from PostgreSQL.

  3. AI Analysis and Routing: The message feeds into the 🤖 AI Sentiment Analysis n8n node (GPT-4), which provides structured JSON output detailing sentiment, urgency, and intent. This analysis is crucial for flow control.

  4. Escalation Check: The 🤖 AI Escalation Router (an n8n Switch node) checks if the AI-detected urgency score or required escalation flag is true. If so, the n8n workflow branches to notify support via Gmail, update the PostgreSQL record to 'escalated', and send a comforting SMS response via Twilio.

  5. Intake and Response: If no escalation is needed, the 🤖 AI Intent Router guides the conversation. If the intent is continueintake, the 🤖 AI Intake Enrichment n8n node extracts structured data (e.g., names, addresses), which is merged back into the session data. The 🤖 AI Response Generator then uses the full conversation transcript to create a contextual, human-like response, which is delivered via Twilio.

  6. Closeout and Archiving: If the intent is complete_session, the n8n workflow finalizes the record in PostgreSQL, archives the full transcript to an S3 bucket, and sends a personalized closing SMS using the 🤖 AI Personalized Closeout n8n node.

  7. Follow-up Scheduling: A Cron n8n trigger runs periodically, querying PostgreSQL for inactive sessions. It uses the 🤖 AI Personalized Reminder n8n node to generate a contextual follow-up message to re-engage the user, demonstrating the comprehensive nature of this n8n workflow.

Installation Guide

To deploy this powerful n8n workflow, follow these steps:

  1. Import: Copy the entire JSON code and paste it into your n8n instance (Cloud or Self-Hosted) using the 'New' -> 'Import from JSON' option.

  2. Database Setup: Ensure you have a PostgreSQL database configured with two tables: userverifications and usersessions. Set up your PostgreSQL credential in n8n.

  3. Twilio Configuration: Configure Twilio credentials (Account SID and Auth Token) using n8n’s Generic Credential Type (HTTP Basic Auth) for sending SMS via the httpRequest n8n node.

  4. AI Credentials: Set up your OpenAI or Groq credentials (API Key) in n8n. The workflow explicitly uses GPT-4 via the openAi n8n node for high-quality analysis and response generation.

  5. Webhook Setup: The primary SMS receiving node (Incoming SMS Webhook (Twilio)) uses a unique webhook URL. Copy this URL from your running n8n instance and configure it in your Twilio phone number settings to ensure messages trigger this n8n workflow.

  6. S3/AWS: Configure AWS S3 credentials for the final transcript archiving stage.

  7. Activate: Set the n8n workflow to 'Active' to start processing live SMS messages.

Node Details

  • Incoming SMS Webhook (Twilio) / Incoming SMS Webhook: Acts as the primary n8n trigger, initiating the conversation flow upon receiving a POST request from Twilio when an SMS arrives.

  • Extract SMS Data (Code n8n node): Custom code to parse the Twilio payload, isolating the user's phone number and the message body for use downstream.

  • Find User Session (PostgreSQL n8n node): Queries the usersessions table to retrieve the ongoing conversational context based on the incoming phone number. This context is vital for the AI.

  • 🤖 AI Sentiment Analysis / 🤖 AI Intake Enrichment (OpenAI n8n node): Key n8n nodes utilizing GPT-4 to perform tasks like classifying sentiment, scoring urgency, identifying intent, and extracting structured data from free-text messages.

  • Process & Store AI Analysis (Code n8n node): Handles the raw JSON output from the AI, sanitizes it, and updates the intakedata JSON column in the PostgreSQL session record, maintaining a comprehensive transcript.

  • 🤖 AI Escalation Router / 🤖 AI Intent Router (Switch n8n node): Core control-flow n8n nodes that direct the workflow path based on the boolean or categorical output generated by the AI n8n node.

  • Send Escalation Email (Gmail n8n node): Used to immediately alert human support staff when the AI detects a high-priority escalation.

  • Send AI Response SMS / Send Closeout SMS (HTTP Request n8n node): Interfaces with the Twilio API to send dynamic, context-aware responses generated by the AI back to the user.

  • Finalize Session (PostgreSQL n8n node): Updates the session status to 'completed' after the interaction is finished.

  • Upload to S3 (AWS S3 n8n node): Archives the complete JSON transcript for compliance and long-term storage.

  • Follow-Up Cron (n8n trigger): A time-based n8n trigger that schedules the automated re-engagement process, checking for inactive sessions and deploying reminders.
