Who is this best for?

  • Small businesses handling high volumes of social media orders.

  • Teams looking for robust n8n templates for AI-driven customer service.

  • Automation specialists needing an n8n workflow example connecting Meta, AI, and Google services.

  • Users who require a resilient n8n trigger for handling inbound Facebook Messenger webhooks.

Overview

This sophisticated n8n workflow solves the problem of manual order entry and conversational complexity inherent in social commerce. By implementing a LangChain-based AI Agent within the n8n node structure, the system can greet customers, share detailed menus, maintain conversational session memory, and accurately extract structured order data from free-form text messages. This specific n8n workflow streamlines the entire process, from the moment a customer messages the page to the creation of a confirmed Google Calendar event and logged spreadsheet entry. Utilizing this n8n template significantly reduces operational overhead for businesses that rely on Facebook for sales. The power of this n8n automation lies in its seamless integration of core logic flow control with external AI services, making it a highly effective solution.

How it Works

This comprehensive n8n workflow initiates upon receiving a Facebook Messenger event.

  1. Trigger & Validation: The process begins with the Webhook - FB Messenger n8n trigger. It first validates the webhook subscription (checking for the hub.challenge token). For actual messages, it proceeds.

  2. AI Conversation: The incoming message is fed into the AI Agent (Order Assistant) n8n node. This agent utilizes the OpenRouter Model for processing and the Memory Buffer (Customer Session) n8n node to ensure context is maintained throughout the customer's interaction. The AI generates a tailored response, typically a greeting or a prompt for the structured order form.

  3. Webhook Acknowledgment: An immediate Respond 200 OK n8n node prevents webhook timeouts.

  4. Messenger Response: The AI's textual output is sent back to the customer using the Send Generic Text (HTTP) n8n node.

  5. Menu Upsell: The Check for Menu Trigger n8n node identifies if the AI's response warrants sending the menu image, triggering the Send Message to FB (Image) n8n node for visual confirmation/upsell.

  6. Data Extraction: If the message contains the structured order form, the Parse Order Text Code n8n node executes custom JavaScript to extract key fields (Full Name, Date, Time, Order, etc.) from the raw message text.

  7. Data Logging: The clean, structured data is then written to Google Sheets using the Append or Update Orders Sheet Google Sheets n8n node, providing a centralized record.

  8. Scheduling: Following data logging, the Create Calendar Event Google Calendar n8n node automatically schedules the fulfillment or delivery time.

  9. Confirmation: Finally, a confirmation message is delivered back to the customer via the Facebook Graph API using the Send Message to FB (Text) n8n node, completing this powerful n8n workflow.

Installation Guide

To deploy this n8n workflow, follow these steps:

  1. Import: Import the provided JSON into your n8n instance.

  2. Facebook Setup: Set up a Facebook App and Page webhook pointing to the full URL of the Webhook - FB Messenger n8n trigger path (fb-messenger-webhook). Ensure the FBVERIFYTOKEN placeholder matches the token used in your Facebook App.

  3. Credentials: Configure n8n credentials for Google Sheets, Google Calendar, and OpenRouter (or your chosen AI service).

  4. Environment Variables/Parameters: Set the following values as n8n credentials or environment variables, which are referenced by nodes throughout the n8n workflow:

FBPAGEID & FBPAGEACCESSTOKEN
YOUR
GOOGLESHEETID & YOURSHEETGIDORNAME
* YOURGOOGLECALENDAR_EMAIL

  1. Google Sheet Preparation: Create a Google Sheet with column headers that exactly match the parsed fields: Date, Time, Order, Full Name, Contact Number, and Delivery Address. Share the sheet with the connected Google service account.

  2. Activate: Set the n8n workflow to active and test by sending a message to your connected Facebook Page.

Node Details

Webhook - FB Messenger (n8n Trigger): The initiating n8n trigger. It listens for POST requests from Facebook Messenger on the defined path, starting the entire n8n workflow.
Validate Webhook Subscription (If n8n Node): Checks for the Facebook subscription request (hub.mode=subscribe and matching token) and routes the flow accordingly.
AI Agent (Order Assistant) (LangChain n8n Node): The core intelligence of this n8n workflow. It interprets customer intent using a defined system prompt and memory buffer.
Memory Buffer (Customer Session) (LangChain n8n Node): Stores conversation history linked to the sender ID, providing necessary context for the AI Agent n8n node.
OpenRouter Model (AI n8n Node): Provides the large language model backend necessary for conversational processing and parsing capabilities within the n8n workflow.
Parse Order Text (Code n8n Node): Uses custom JavaScript to systematically split and extract structured order data (like contact details and order items) from the free-form text input.
Append or Update Orders Sheet (Google Sheets n8n Node): Takes the parsed data and logs it into the specified Google Sheet document, using the extracted fields to populate rows.
Create Calendar Event (Google Calendar n8n Node): Schedules a new event in the fulfillment calendar based on the extracted order date and time, using the order summary as the event title.

  • Send Message to FB (Text/Image) (HTTP Request n8n Node): Used multiple times to communicate with the Facebook Graph API, sending AI responses, confirmations, and the menu image back to the customer.
