Who is this best for?

  • Busy executives or entrepreneurs needing hands-free scheduling management.

  • Developers or power users looking for advanced n8n templates integrating LangChain agents with core services.

  • Anyone seeking to automate routine email and calendar tasks through natural language commands.

  • Users interested in leveraging the Google Gemini or OpenAI LLMs within an n8n workflow environment.

Overview

This sophisticated automation transforms simple chat requests into complex, multi-step operations across Google services. Unlike simple trigger-action setups, this n8n workflow utilizes a highly structured AI Agent to interpret context, manage memory, and coordinate multiple specialized tools. For instance, when asked to schedule a meeting, the n8n node configuration ensures the AI doesn't just create the event; it first checks your calendar availability using the dedicated tool, then creates the event, and finally uses the Gmail tool to send a confirmation or invitation email to the attendees. This high level of conditional logic makes this n8n workflow an essential tool for personal productivity.

How it Works

The flow begins with the Chat Node, which acts as the n8n trigger, capturing your conversational input (via the n8n chat interface or a connected messenger app).

  1. Input & Memory: The user input passes through the Simple Memory node, providing conversation history (up to 10 interactions) to the AI Agent.

  2. Cognitive Engine: The input reaches the AI Agent node. This is the core logic. It uses the Google Gemini Chat Model (or any configured LLM) to analyze the user's request against its highly detailed internal System Prompt.

  3. Tool Selection: Based on the analysis, the Agent determines which specialized n8n tool (or sequence of tools) is required:

If the request involves time, it calls the Date & Time n8n node.
If it needs to schedule a meeting, it first calls Get availability in Google Calendar.
If available, it proceeds to Create an event in Google Calendar, and then immediately uses the Send a message in Gmail tool to notify attendees.
If the user asks to view emails, it calls the Get many messages in Gmail n8n node.

  1. Execution & Response: The Agent executes the tool call(s) and uses the resulting data (e.g., event ID, calendar conflict status, email content) to formulate a natural language response back to the user via the initial Chat Node. This entire process demonstrates the power of a coordinated n8n workflow.

Installation Guide

To deploy this comprehensive n8n workflow, follow these steps:

  1. Import the n8n Template: Copy the provided JSON code and paste it into your n8n instance using the 'New' menu -> 'Import from JSON'.

  2. Set Up Credentials: You will need credentials for the following services:

Google Gemini/LLM: Configure the 'Google Gemini Chat Model' node with your API Key (or swap it for an OpenAI n8n node if preferred).
Google Calendar: Set up Google Calendar credentials with read/write access. Ensure you select the target calendar email address in the Calendar nodes.
* Gmail: Configure Gmail credentials with permission to send and read messages.

  1. Activate the n8n Trigger: Ensure the 'Chat Node' is correctly configured to listen for your messages. This n8n trigger starts the conversation.

  2. Test the n8n Workflow: Once credentials are set, activate the workflow and start interacting with your new AI assistant. Test a complex command, such as 'Schedule a 30-minute meeting with Jane tomorrow at 2 PM to discuss the project budget, and please send her an invite.'

Node Details

Chat Node: The primary n8n trigger that initiates the conversational workflow, connecting the user interface to the AI logic.
AI Agent: The intelligent core of this n8n workflow. It uses a detailed system prompt (seen in the JSON) to manage conversation flow, confirm details with the user, and decide which external tool to execute.
Google Gemini Chat Model: The Large Language Model (LLM) providing the natural language understanding and generation capabilities for the agent.
Simple Memory: A memory buffer n8n node configured to maintain context across the last 10 conversational turns, making the assistant feel responsive and aware of prior questions.
Send a message in Gmail: A specialized n8n tool used by the Agent to compose and send emails, often used immediately after scheduling an event.
Get many messages in Gmail: Allows the Agent to search and retrieve emails, supporting queries like 'What was the last email from the client?'
Get availability in a calendar in Google Calendar: Crucial pre-scheduling n8n node. It checks for conflicts before creating a new meeting, adhering to the Agent's safety protocol.
Create an event in Google Calendar: The final action n8n node for scheduling, used only after availability is confirmed by the Agent logic.
