This comprehensive n8n workflow solves the problem of inefficient appointment setting by injecting artificial intelligence into the qualification phase. The automation ensures that only relevant leads proceed to the scheduling stage, saving valuable time.

The process begins with an n8n Form Trigger that initiates the data collection. Crucially, the system utilizes an OpenAI-backed text classifier n8n node to instantly evaluate the user’s request, providing immediate feedback (a decline message) if the enquiry is deemed irrelevant. If qualified, the user experiences a multi-step form process, culminating in setting a date/time.

The most advanced aspect of this n8n workflow is the seamless human-in-the-loop integration. By triggering a sub-workflow, the system sends an approval request via the special Gmail Wait for Approval n8n node to the administrator, pausing execution until a decision is made. Upon confirmation, the meeting is automatically scheduled using the Google Calendar n8n node, showcasing highly effective core logic flow control within a single n8n template.

How it Works


  1. Start via n8n trigger: The user fills out the initial fields (Name, Email, Enquiry) in the n8n Form Trigger.

  2. AI Qualification: The Enquiry Classifier n8n node (using OpenAI) instantly assesses the relevance of the submission. If the enquiry is not relevant, the user is redirected to a decline form completion message.

  3. Multi-Step Data Collection: If qualified, the user must accept the Terms & Conditions (another n8n Form) and then specify a desired Date & Time from dynamic options.

  4. Data Consolidation: The Get Form Values Set n8n node consolidates all collected data into a unified JSON structure.

  5. User Receipt & Approval Trigger: A confirmation email receipt is sent immediately via the Gmail n8n node. Concurrently, the Trigger Approval Process Execute Workflow n8n node initiates a sub-workflow execution to handle the background approval process, demonstrating excellent separation of concerns within the n8n workflow design.

  6. AI Summarization: Inside the sub-workflow, the Summarise Enquiry n8n node (powered by an OpenAI Chat Model) condenses the long enquiry text for the admin’s convenience.

  7. Human Approval: The Wait for Approval Gmail n8n node sends the summarized request to the administrator’s email, awaiting their 'Confirm' or 'Decline' decision.

  8. Final Action: An IF n8n node checks the approval status. If approved, the Create Appointment Google Calendar n8n node schedules the meeting. If rejected, the Send Rejection Gmail n8n node notifies the user.

Installation Guide


  1. Importing: Copy the provided n8n workflow JSON and import it into your n8n instance via the 'Workflows' > 'New' > 'Import from JSON' option.

  2. OpenAI Credentials: Ensure your OpenAI credentials are linked to the Enquiry Classifier and Summarise Enquiry n8n node instances. These are vital for the AI portion of the n8n template.

  3. Gmail Credentials: Provide authenticated Gmail credentials for the Send Receipt, Wait for Approval, and Send Rejection n8n nodes. The 'Wait for Approval' feature relies heavily on the correct Gmail setup.

  4. Google Calendar Credentials: Authenticate the Google Calendar n8n node to ensure events can be created upon approval.

  5. Configuration: Locate the Wait for Approval n8n node and update the sendTo field from [email protected] to your preferred administrative email address.

  6. Activation: Activate the n8n workflow. The URL for the n8n Form Trigger will now be available for use.

n8n Form Trigger: This is the primary n8n trigger, initiating the process upon form submission. It collects initial user and enquiry data.
Enquiry Classifier (Langchain n8n node): Function: Uses an OpenAI LLM to classify the submitted enquiry against defined categories, acting as a gatekeeper for the rest of the n8n workflow.
Terms & Conditions / Enter Date & Time (n8n Form): Function: Provides critical core logic flow control by enabling a multi-page, conditional form experience. The date form dynamically generates next-day options excluding weekends.
Trigger Approval Process (Execute Workflow n8n node): Function: Allows the main flow to complete the receipt notification while asynchronously running the long-running approval process, ensuring high performance for this n8n workflow.
Summarise Enquiry (Langchain n8n node): Function: Uses an OpenAI n8n node to summarize the potentially lengthy user enquiry for quick review by the administrator.
