Who is this best for?

Chief Operating Officers (COOs) or Operations Managers needing daily, automated task focus.
Automation Specialists looking for advanced n8n templates involving RAG and vector databases.
Developers who want to integrate AI Agents (LangChain) and structured data parsing into business workflows.
Teams needing a centralized, prioritized task list outside of their native project management tool.

Overview

Managing operational tasks often requires manual review and prioritization, a time-consuming bottleneck for COOs. This advanced n8n workflow template eliminates that manual effort by implementing an intelligent COO AI Agent. The core value lies in its ability to not only process tasks but also enhance its decision-making with external knowledge. It utilizes a RAG (Retrieval Augmented Generation) pattern: tasks from Asana are processed by an OpenAI Agent which queries a Pinecone Vector Store (semantic memory) to retrieve historical context, dependencies, or strategic guidelines. This sophisticated use of the n8n node ecosystem ensures the prioritization is strategic, consistent, and contextually rich, outputting only the most crucial daily task into a clean PostgreSQL table for easy reporting and monitoring. If you are looking for complex, robust n8n templates, this solution provides a perfect blueprint.

How it Works

This automation initiates daily via a specialized n8n trigger, ensuring consistent prioritization every morning.

  1. Daily Trigger: The n8n trigger, set to fire every day at 9:00 AM, starts the process.

  2. Task Retrieval: The n8n workflow uses the Asana n8n node to fetch all relevant tasks requiring attention (e.g., tasks with upcoming deadlines or those assigned to specific projects).

  3. RAG Context Setup: Concurrently, the workflow prepares the contextual memory. The Generate Task Embeddings n8n node uses OpenAI to vectorize task data, which is then stored or retrieved from the Pinecone Vector Store.

  4. AI Prioritization: The collected tasks are passed to the COO Agent n8n node. This specialized LangChain Agent acts as the operational decision-maker. It is instructed to use the Task Knowledge Vector DB (which connects the agent to Pinecone) to look up contextual information before deciding on priority.

  5. Reasoning: The agent uses the Task Reasoning Model (GPT-4o-mini) to analyze urgency, impact, and dependencies, ultimately selecting and justifying the single most critical task.

  6. Structured Output: The Priority Output Parser n8n node processes the AI’s text output, normalizing it into a strict JSON structure containing 'Task Name', 'Priority Level', and 'Reason for Priority'.

  7. Data Persistence: Finally, the PostgreSQL n8n node inserts the structured data into the prioritized_tasks table, making the AI-driven prioritization results available for reporting and subsequent automations. This completes the sophisticated n8n workflow.

Installation Guide

To deploy and utilize this n8n workflow, follow these steps:

  1. Import the JSON: Copy the provided n8n workflow JSON data and paste it into your n8n instance using the 'Import from JSON' function.

  2. Asana Credentials: Set up credentials for the Asana n8n node. Configure the 'Fetch Tasks' node to specify the project or filter criteria for the tasks you wish to prioritize.

  3. OpenAI Credentials: Configure the OpenAI API Key credentials used by the Task Reasoning Model and Generate Task Embeddings n8n node (requires both Chat and Embedding API access).

  4. Pinecone Credentials: Set up the Pinecone API credentials and ensure the specified Pinecone index is correctly configured in the Pinecone Vector Store n8n node.

  5. PostgreSQL Credentials: Configure the PostgreSQL credentials for the Save Prioritized Task n8n node. Verify that the target database and the prioritizedtasks table exist with the required columns (taskname, prioritylevel, reasonfor_priority).

  6. Activate: Ensure the workflow is set to 'Active' to allow the daily n8n trigger to execute the automation.

Node Details

This n8n workflow relies on several high-level specialized n8n node types:

Daily 9AM Trigger (n8n trigger): This is the core n8n trigger, configured to run once daily at 9:00 AM, automating the start of the task prioritization process.
Fetch Tasks (Asana n8n node): Retrieves all tasks. The configuration ensures Return All is set to true to feed comprehensive data to the AI agent.
Generate Task Embeddings (OpenAI Embeddings n8n node): Converts task descriptions into vector representations, a crucial step for the RAG component using the OpenAI model.
Pinecone Vector Store (LangChain n8n node): Manages the connection to the Pinecone index, storing the vector data used for retrieval and context by the AI agent.
Task Reasoning Model (OpenAI Chat n8n node): Utilizes GPT-4o-mini to power the reasoning capabilities of the agent.
COO Agent (LangChain Agent n8n node): The central processing unit. It accepts raw Asana data and uses a custom system message instructing it to act as a COO, utilizing the vectordatabasetool (Pinecone) to inform its priority judgment.
Priority Output Parser (LangChain Output Parser n8n node): Standardizes the AI's natural language output into a defined JSON structure, making the data clean and database-ready.
Save Prioritized Task (PostgreSQL n8n node): Inserts the final, structured, prioritized task into the public.prioritized_tasks table for persistent storage and reporting.
