Who is this best for?

  • Event Organizers and Marketing Teams running frequent webinars.

  • Businesses seeking to provide personalized, immediate follow-up to attendees.

  • n8n Automation Specialists looking for advanced n8n templates combining AI and legacy systems (Sheets/Gmail).

  • Users who need a reliable, serverless n8n trigger for external form submissions.

Overview

Managing high volumes of post-webinar feedback can be time-consuming, leading to delayed or generic responses. This advanced n8n workflow solves this by providing a highly personalized, immediate reply without requiring human intervention. Utilizing an OpenAI n8n node, the automation analyzes attendee sentiment (HOT, WARM, COLD) based on their rating and comments, and dynamically generates a professional, human-like thank you message and suggested next steps.

This complete solution ensures that every attendee receives a tailored follow-up, significantly improving engagement and data logging accuracy. The initial webhook acts as the critical n8n trigger, making this one of the most practical n8n templates for marketing automation.

How it Works

The entire process is initiated by an external event that hits the Feedback Webhook, serving as the n8n trigger.

  1. Intake and Normalization: The incoming data is processed by an n8n node that generates a unique feedbackid and normalizes the data structure (Email, Name, Rating).

  2. Initial Logging: The raw feedback is temporarily stored in Google Sheets using the Store Partial n8n node, capturing essential initial data.

  3. AI Analysis: The data is passed to the Message a model (OpenAI) n8n node, which uses GPT-4 to analyze the feedback against strict internal guidelines. It determines the engagement segment (Hot, Warm, or Cold) and generates a structured JSON response containing the personalized thankYouMessage and nextSteps.

  4. Data Assembly: The AI's JSON output is parsed by the Parse AI Response n8n node. A Merge n8n node then combines the AI output, the original attendee data, and predefined Common Resources.

  5. Email Generation: The Build Email HTML Code n8n node constructs a sophisticated, branded HTML email using the merged data, ensuring the message is tailored based on the AI’s suggestions.

  6. Delivery: The Send AI Thank You Email (Gmail) n8n node delivers the personalized message to the attendee's email address.

  7. Final Logging: The Store Feedback Google Sheets n8n node updates the original entry using the unique feedbackid, logging the exact reply sent and the email delivery status. This completes the fully automated n8n workflow cycle.

Installation Guide

To deploy this comprehensive n8n workflow, follow these steps:

  1. Import the n8n Workflow: Copy the provided JSON code and import it directly into your n8n instance using the 'New' button or by dragging the file onto the canvas.

  2. Configure the Webhook n8n Trigger: The Feedback Webhook n8n node is the starting point. Set the webhook path (e.g., /webinar-feedback) and activate the workflow to get the unique URL. Use this URL in your external feedback form (Typeform, Google Forms, etc.).

  3. Set Up Credentials:

- OpenAI: Add or select your OpenAI API key credentials for the Message a model n8n node.
- Google Sheets: Add or select your Google Sheets OAuth2 credentials for both Store Partial and Store Feedback n8n nodes. Specify your YOURGOOGLESHEETID and YOURSHEET_NAME in both nodes.
- Gmail: Add or select your Gmail OAuth2 credentials for the Send AI Thank You Email n8n node.

  1. Customize Resources: Modify the static links in the Common Resources Code n8n node (Webinar Recording, Slides) to match your actual asset locations.

  2. Activate: Save and activate the n8n workflow to start processing live feedback.

Node Details

Feedback Webhook (n8n trigger): Initiates the n8n workflow when an external POST request containing feedback data is received at the /webinar-feedback endpoint. This is the essential n8n trigger.
Message a model (OpenAI n8n node): Utilizes GPT-4.1-Mini for sophisticated language processing. It is configured with detailed system instructions to classify sentiment (Hot/Warm/Cold) and generate a natural, professional reply (thankYouMessage) and next steps, ensuring the response adheres to non-salesy writing guidelines.
Store Partial / Store Feedback (Google Sheets n8n node): These nodes handle data persistence. Store Partial appends the initial feedback. Store Feedback updates that same row with the final AI reply and email status, using the unique feedback_id for matching.
Normalize Feedback & Parse AI Response (Code n8n node): Essential for data hygiene. Normalize Feedback cleans input fields. Parse AI Response safely extracts the critical JSON reply object from the raw AI text response.
Build Email HTML (Code n8n node): Creates a fully styled, professional HTML email body using attendee name, webinar title, the AI's personalized message, and the merged resource links. This guarantees a high-quality visual experience for the recipient.
Send AI Thank You Email (Gmail n8n node): Executes the final personalized follow-up, sending the subject and HTML content generated in the previous step to the attendee's email.
