Who is this best for?

Educational Institutions & Training Providers: Users needing to instantly generate and issue validated certificates upon course completion.
Developers & Integrators: Those looking for a ready-to-use n8n template to provide a public API endpoint for certificate validation.
n8n Automation Specialists: Users who want to see advanced examples of conditional logic, Data Table usage, and binary file manipulation within an n8n workflow.
HR and Compliance Teams: Organizations that need an immutable record and validation system for professional certifications.

Overview

This comprehensive n8n workflow solves the complex challenge of managing digital credentials by combining two major functions: Creation and Verification.

The Creation flow starts with a secure n8n trigger, dynamically generates a unique and validated Certification ID, saves the record to an n8n Data Table, converts dynamic HTML into a beautifully formatted PDF certificate, and instantly emails it to the recipient. This highly efficient n8n automation eliminates manual certificate generation.

The Verification flow provides a public-facing API endpoint. When queried with a Certification ID, this section of the n8n workflow quickly searches the internal Data Table and returns a clean JSON response (ok: true/false), allowing external systems (like a website's verification page) to instantly confirm the certificate's validity. This powerful n8n template ensures data integrity and trust for all issued documents.

How it Works

This n8n workflow operates across two main logical paths, both starting with a dedicated n8n trigger.

Path 1: Certificate Creation (Webhook: /certifications)

  1. Start (WebhookCreation): The process begins when this specific n8n trigger receives an HTTP POST request containing recipient details (name, surname, email, course).

  2. ID Generation (GenerateCertificationID): A Code n8n node runs a script to create a truly unique, alphanumeric Certification ID.

  3. ID Validation Loop (Find/CertificationIDExists): The Data Table n8n node searches for the newly generated ID. An If n8n node checks if the ID is already present. If a duplicate is found, the n8n workflow loops back to the generation step, ensuring every certificate has a unique ID before proceeding.

  4. Data Storage (InsertCertificaton): Once validated, the Data Table n8n node saves the recipient's name, surname, and the unique ID into the 'Certifications' Data Table, creating the verified record.

  5. PDF Generation (GeneratePDF): Using the PDF Generator API n8n node, dynamic data (recipient name and ID) is injected into an elaborate HTML template to render the final, high-quality digital certificate as a binary file.

  6. Delivery (EmailCertification): The Gmail n8n node takes the binary file output from the previous n8n node and sends it as an attachment to the recipient's email address, finalizing the creation process.

Path 2: Certificate Verification (Webhook: /certificationscheck)

  1. Verification Trigger (WebhookCheck): This separate n8n trigger listens for HTTP POST requests containing a Certification ID header.

  2. Data Lookup (FindCertificationByID1): The Data Table n8n node searches the saved records for a match to the submitted ID.

  3. Conditional Response (Certification_Exists): An If n8n node compares the found ID against the requested ID.

  4. Respond to Webhook: The n8n workflow returns a custom JSON response: either confirmation (ok: true, plus recipient name/surname) if the ID is found, or an error response (ok: false) if the ID is not found, providing real-time validity checking via the n8n automation.

Installation Guide

To deploy this powerful n8n workflow, follow these setup steps:

  1. Import: Copy the provided n8n workflow JSON code and import it directly into your n8n instance.

  2. Data Table Setup: Create an n8n Data Table (or use an existing one) named something like 'Certifications'. Ensure it has mandatory columns for Name, Surname, and CertificationID. Update the IDs in the InsertCertificaton and FindCertificationByID/FindCertificationByID1 Data Table n8n nodes to reference your newly created table.

  3. Credential Configuration:

Configure the GeneratePDF n8n node with your PDF Generator API credentials.
Configure the EmailCertification Gmail n8n node with your sending account credentials.

  1. Webhook Activation: The WebhookCreation and WebhookCheck n8n triggers must be deployed. Use the resulting public URLs (/certifications and /certificationscheck) to integrate this n8n automation with your front-end systems or APIs.

  2. Customization: Review the HTML content within the GeneratePDF n8n node to customize the certificate design and branding to match your requirements. This n8n template is fully flexible.

Node Details

This n8n workflow utilizes several crucial n8n nodes for its full functionality:

WebhookCreation & WebhookCheck (n8n trigger): These serve as the primary entry points (n8n triggers) for the creation and verification flows, respectively. They listen for HTTP POST requests on specified paths.
GenerateCertificationID (Code n8n node): Custom code is used to generate a unique, highly randomized ID, ensuring the reliability of the n8n automation.
Data Table n8n node (Insert & Find operations): Used as the central database. The 'Find' n8n node executes filters to check for ID duplicates during creation and validates existing IDs during the verification step. The 'Insert' n8n node permanently records new certificates.
CertificationIDExists (If n8n node): Manages the core logic flow control. If the Data Table returns a result, the n8n workflow is redirected back to ID generation to avoid collisions.
GeneratePDF (PDF Generator API n8n node): This specialized n8n node handles the conversion of dynamic HTML (which pulls data from the WebhookCreation n8n node) into the final PDF binary file.
EmailCertification (Gmail n8n node): Configured to send the dynamically generated PDF binary data as an attachment to the recipient's email, leveraging the input from the initial n8n trigger.

  • Respond to Webhook n8n node (RespondFound/Respond_NotFound): These nodes are essential for the verification path, sending structured JSON back to the calling service based on the outcome of the certificate lookup.
