Teams that rely on Google Sheets as their primary contact database and require high data quality.

Overview

Maintaining a clean email list is crucial for deliverability and marketing success. Manually validating hundreds or thousands of emails is time-consuming and error-prone. This specialized n8n workflow provides an automated solution, turning a static spreadsheet into a dynamic data cleaning tool.

This n8n workflow connects directly to your Google Sheet, fetches all records, and systematically processes each email address by querying the Email Validator AI service via RapidAPI. After receiving the validation status (e.g., whether the email is disposable), the n8n node dedicated to Google Sheets updates the corresponding row with the new information. This powerful n8n automation ensures your data quality is consistently high, saving operational costs and improving campaign performance. This is an essential n8n templates component for any data pipeline.

How it Works

This automation starts with a manual trigger, designed for scheduled cleanup runs or development testing.

  1. Trigger and Data Retrieval: The n8n trigger, 'When clicking ‘Execute workflow’', initiates the process. The flow immediately moves to the Google Sheets n8n node, which is configured to read all existing rows from the specified spreadsheet, collecting all email addresses.

  2. Iterative Processing: The 'Loop Over Items' n8n node splits the retrieved data into individual items (one email per item). This is crucial for rate limiting and ensures that each email is processed separately through the subsequent steps of the n8n workflow.

  3. External Validation: For each item, the 'HTTP Request' n8n node sends a POST request to the Email Validator AI API hosted on RapidAPI. This request dynamically inserts the email address retrieved from the Google Sheet data (={{ $json.email }}) and uses predefined RapidAPI keys in the headers.

  4. Result Update: After the validation API returns the result (including data like disposable status), the final 'Google Sheets (Update Row)' n8n node takes action. It uses the original email address as a matching column and updates the existing row with the validation results, such as the is_disposable status. The data is looped back via the n8n workflow until all initial spreadsheet rows have been validated.

Installation Guide

To deploy this efficient n8n workflow, follow these setup steps:

  1. Import the n8n Workflow: Copy the provided JSON and import it directly into your n8n instance.

  2. Set Up Google Sheets Credentials: This n8n template uses a 'Service Account' for robust Google Sheets access. You must create and link your Google Service Account credentials to both Google Sheets n8n nodes ('Google Sheets' and 'Google Sheets ( Update Row )'). Ensure the Service Account email has editor access to your target spreadsheet.

  3. Configure Spreadsheets: In both Google Sheets n8n nodes, specify the Document ID and Sheet Name where your email list resides.

  4. Set Up RapidAPI Key: The 'HTTP Request' n8n node requires credentials for the Email Validator AI service. Replace the placeholder value in the 'x-rapidapi-key' header parameter with your actual RapidAPI subscription key for the 'email-validator-ai' service.

  5. Execute: Run the n8n workflow manually using the 'Execute Workflow' button to test the connection and validation logic.

Node Details

When clicking ‘Execute workflow’ (Manual Trigger): This n8n trigger is used for on-demand execution, allowing users to initiate the list cleanup process whenever needed.
Google Sheets (Read): This n8n node reads all data from the specified spreadsheet. It uses a Service Account for secure, programmatic access to the Google Sheet data.
Loop Over Items (Split In Batches): A critical n8n node for flow control. It ensures that the bulk data retrieved from Google Sheets is processed sequentially, email by email, preventing issues with API rate limits and ensuring accurate row-by-row updates in the later stage of the n8n workflow.
HTTP Request: This n8n node handles the core validation. It sends the email variable (={{ $json.email }}) to the RapidAPI endpoint. Key configurations include setting the method to POST, content type to multipart-form-data, and using API keys for authentication in the headers.

  • Google Sheets ( Update Row ): This final Google Sheets n8n node performs an update operation. It matches existing rows based on the email column and injects the validation result (specifically the disposable flag) back into the corresponding row of the source sheet.
