  • Users looking for advanced examples of n8n templates integrating Google Sheets and complex flow control.

  • Developers needing a robust n8n node structure for external API interaction.

Overview

This robust automation system provides a complete solution for job application management. By leveraging a Google Sheet as the central database, this n8n workflow eliminates the repetitive manual process of applying to multiple jobs and constantly checking for status updates. It features two distinct cron-based n8n trigger points: one for daily application submission and another for bi-daily status checks. This specific n8n workflow demonstrates complex branching logic (Switch n8n node) and dynamic data manipulation, proving the versatility of n8n for real-world tasks. This n8n template is essential for anyone serious about automating their career search.

How it Works

The entire process is divided into two distinct parts, each starting with a unique n8n trigger.

Part 1: Automated Application (Daily)

  1. The Daily Application Trigger n8n node initiates the application process every weekday morning at 9:00 AM.

  2. A Configuration n8n node loads global settings (Sheet ID, resume URL, email, and cover letter template).

  3. The Google Sheets n8n node reads all job data from the designated spreadsheet.

  4. The Filter Pending Applications n8n node isolates entries marked "Not Applied" that also contain a Job_URL.

  5. The Process Jobs One by One n8n node ensures each application is handled individually.

  6. The Prepare Application Data n8n node determines the target platform (LinkedIn or Indeed) and generates a personalized cover letter using templating features.

  7. The Route by Platform n8n node directs the flow to the appropriate HTTP Request n8n node for submission.

  8. The Process Application Result n8n node logs the outcome (success/failure) based on the API response.

  9. Finally, the Google Sheets n8n node updates the row status to 'Applied' or 'Failed,' and a Gmail n8n node sends a confirmation email, completing this powerful n8n workflow segment.

Part 2: Status Tracking (Bi-Daily)

  1. The Status Check Trigger n8n node activates the tracking flow every two days at 10:00 AM.

  2. The Google Sheets n8n node reads all job data again.

  3. The Filter Applied Jobs n8n node selects only jobs currently marked "Applied."

  4. The flow iterates through these jobs, running a simulated status check (which should be replaced with real API calls).

  5. An If n8n node checks if the newly retrieved status differs from the current status in the sheet.

  6. If a change is detected, the Google Sheets n8n node updates the status, and a Gmail n8n node sends an urgent notification to the user, ensuring the user stays informed via this smart n8n workflow.

Installation Guide

  1. Import the n8n template: Copy the provided n8n workflow JSON and paste it into your n8n instance's workflow editor.

  2. Google Sheets Setup: Create a Google Sheet named 'Jobs' with the required columns: JobID, Company, Position, Status (initial value: 'Not Applied'), AppliedDate, LastChecked, ApplicationID, Notes, Job_URL, Priority.

  3. Configuration: Locate the Configuration n8n node (Set). Replace the placeholder value for spreadsheetId with your actual Google Sheet ID and update resumeUrl and userEmail.

  4. Credentials: Set up credentials for the following services in n8n:

Google Sheets: OAuth2 authentication is required for the Google Sheets n8n node operations.
Gmail: OAuth2/API key for the Gmail n8n node to send status notifications.
* Job Platforms (API): Configure OAuth2 or API credentials for LinkedIn and Indeed in the HTTP Request n8n node if replacing the mock calls with live API interactions. Ensure your n8n node connections are valid.

  1. Activation: Review the scheduling of both cron n8n trigger nodes and activate the n8n workflow.

Node Details

Cron n8n node (Daily Application Trigger & Status Check Trigger): Acts as the primary n8n trigger, scheduling execution for routine job application submission (daily weekdays) and periodic status monitoring (every two days).
Set n8n node (Configuration & Prepare Application Data): Essential n8n node for setting workflow-wide parameters (Sheet ID, Resume URL) and dynamically generating personalized content like cover letters for each application item. This n8n node handles crucial data preparation.
Google Sheets n8n node (Read Jobs Sheet, Update Job Status, etc.): Manages the central job database. It reads pending applications and updates application status, dates, and IDs upon completion, serving as the data backbone for this n8n workflow.
Filter n8n node (Filter Pending/Applied Jobs): Core logic n8n node used to segment data, ensuring only jobs requiring application or status checking proceed down the respective branches of the n8n workflow.
HTTP Request n8n node (Apply via LinkedIn/Indeed): This n8n node is configured to simulate submitting applications to job platform APIs using job data. This n8n node requires appropriate credential setup for live use.
Switch n8n node (Route by Platform): Enables dynamic routing based on the job URL detected in the data, ensuring the correct platform API is targeted. A key flow control n8n node within the application sequence.

  • Gmail n8n node (Send Notification/Update): Sends email alerts to the user detailing successful applications or status changes within the n8n workflow, ensuring timely feedback.
