Overview

Manual lead follow-up is time-consuming and prone to delays, often resulting in lost opportunities. This robust n8n workflow solves that challenge by creating a dynamic, automated nurturing sequence that spans both email and SMS, ensuring leads receive timely, consistent communication across multiple channels.

Upon initiation via the primary n8n trigger, the system immediately sends initial contact messages. Crucially, the automation incorporates timed delays and an engagement check. This allows the system to differentiate between interested and cold leads, customizing the subsequent follow-up path. Using this structure, your team can focus on qualified leads while the n8n node network handles the heavy lifting of initial engagement and re-engagement attempts. This specific n8n workflow is a powerful tool for streamlining your sales pipeline.

How it Works

This powerful n8n workflow begins when data is pushed to the Webhook n8n trigger, initiating the lead sequence.

  1. Trigger and Extraction: The process starts with the Webhook receiving lead data. The data is immediately processed by the Extract Lead Info n8n node to standardize variables (Name, Email, Phone).

  2. Initial Contact: Simultaneously, the lead receives an immediate initial email via Gmail and an initial SMS via Twilio.

  3. Day 1 Follow-up: The workflow pauses for Wait 24h. After the delay, a coordinated follow-up is executed: the Day 1 Follow-up Gmail n8n node sends a second email, and the Day 1 - Check Your Inbox Twilio n8n node sends a reminder SMS.

  4. Engagement Check: A further delay of Wait 48h occurs. The flow then reaches the critical Track Email Click If n8n node, which checks for a specific engagement signal (e.g., link click or reply).

  5. Conditional Branching:

TRUE Path (Engaged): If the lead engaged, they are routed to the Mark as Interested n8n node, signaling high intent for immediate human follow-up.
FALSE Path (Unresponsive): If no engagement is detected, the lead enters the re-engagement track via the Wait Before Re-Engagement n8n node, followed by a final Follow-up Email to attempt revival.

Installation Guide

To deploy this comprehensive n8n workflow template, follow these steps:

  1. Import: Copy the provided JSON data and paste it directly into your n8n environment using the 'New' menu and selecting 'Import from JSON'.

  2. Credentials Setup: You will need to set up credentials for the services used:

Gmail: Configure your Gmail OAuth credentials for sending automated emails.
Twilio: Set up your Twilio account SID and Auth Token for sending SMS messages.

  1. Webhook Activation: Once imported, activate the Webhook n8n trigger. Copy the generated test URL and configure your external lead source (e.g., website form, CRM) to send POST requests to this endpoint.

  2. Customization: Edit the content within the Gmail and Twilio n8n node settings to match your specific marketing copy and sender numbers. Ensure the conditional logic in the Track Email Click n8n node aligns with the data structure you are using to track engagement.

Node Details

Webhook (n8n trigger): The entry point for this n8n workflow. It waits for an external HTTP request (e.g., a new lead submission) to start the sequence.
Extract Lead Info (Set n8n node): Standardizes incoming data from the webhook into usable variables (like email, phone, name) for subsequent communication nodes.
Gmail (Initial/Follow-up n8n node): Used to send email communications to the lead immediately upon entry and during later stages. Configuration requires setting the recipient based on webhook data.
Twilio (Initial/Day 1 SMS n8n node): Sends timely SMS messages, complementing the email outreach for multi-channel presence. Requires Twilio API configuration.
Wait 24h / Wait 48h / Wait Before Re-Engagement (Wait n8n node): These flow control nodes strategically pause the n8n workflow to ensure the communication is delivered over a specified timeline, simulating natural human follow-up timing.
Track Email Click (If n8n node): This crucial decision-making n8n node checks a condition (e.g., item.clicked === true). It dictates whether the lead is highly engaged or requires further cold re-engagement efforts.
