Overview

Customer service response time is critical for retaining VIP clients. This dedicated n8n workflow solves the problem of slow ticket escalation by establishing an automated fast-track lane. When a ticket enters Zendesk with high priority, this automation instantly processes the data. It uses the filtering capabilities of an n8n node to identify the urgent request, immediately creates a corresponding priority task in ClickUp, and sends an urgent notification via Telegram, ensuring no high-priority ticket is ever missed. This robust n8n workflow increases accountability and dramatically cuts down on manual triage time, making it one of the most valuable n8n templates for efficient support operations.

How it Works

This automation initiates using a manual n8n trigger, but it is designed to be easily swapped out for a Zendesk webhook or schedule n8n trigger for continuous operation. The process flows through the following steps:

  1. Trigger Activation: The n8n workflow begins execution, typically for testing or one-time runs.

  2. Gathering Tickets: The Zendesk n8n node retrieves all available tickets from the connected account.

  3. Priority Check: An IF n8n node acts as the critical filter. It checks if the priority field of the retrieved tickets contains the value 'high'. Only items meeting this condition continue down the main automation path.

  4. Retrieve Requester Data: A second Zendesk n8n node (Get the VIP user) uses the requester_id from the high-priority ticket to fetch the requester's details, specifically retrieving the email address needed for the alert.

  5. ClickUp Task Creation: The ClickUp n8n node creates a new high-priority task using the subject and description from the filtered ticket, ensuring the task is instantly visible to the assigned team.

  6. Real-time Alert: Finally, the Telegram n8n node sends a customized alert message, including the subject and the requester's email, notifying the relevant team channel about the new, urgent VIP ticket.

Installation Guide

To deploy this comprehensive n8n workflow template, follow these steps:

  1. Import: Copy the provided n8n workflow JSON data and paste it directly into your n8n instance using the 'New' > 'Import from JSON' function.

  2. Credentials Setup: You must configure credentials for the following services:

Zendesk: Set up your Zendesk API credentials for accessing and reading ticket and user data.
ClickUp: Configure your ClickUp API credentials and verify the Space, Folder, and List IDs referenced in the 'Create ClickUp Task1' n8n node.
* Telegram: Set up your Telegram Bot token credentials. In the 'Send Telegram Alert1' n8n node, replace with the actual Telegram chat ID where you want the priority alerts to be sent.

  1. Testing: Click the 'Execute workflow' button on the 'When clicking ‘Execute workflow’' n8n trigger node to test the entire flow using your live credentials and sample data from Zendesk.

  2. Activation: Once successfully tested, activate the n8n workflow by toggling the 'Active' switch.

Node Details

When clicking ‘Execute workflow’ (Manual Trigger): This serves as the initial n8n trigger for manual runs and testing. It can be replaced by a Zendesk webhook n8n trigger for production environments.
Get many tickets (Zendesk n8n node):
Function: Retrieves a comprehensive list of support tickets.
Key Configuration: Operation set to getAll, ensuring a broad dataset is pulled for evaluation.
Check High Priority (IF n8n node):
Function: Implements the core VIP detection logic by filtering incoming tickets.
Key Configuration: The condition checks if priority field contains the string 'high'. Only data passing this condition proceeds.
Get the VIP user (Zendesk n8n node):
Function: Fetches the detailed user information (like email) associated with the urgent ticket.
Key Configuration: Resource set to user, using the dynamic expression ={{ $json.requester_id }} to pass the ID from the previous ticket item.
Create ClickUp Task1 (ClickUp n8n node):
Function: Automates the creation of a priority task in ClickUp.
Key Configuration: Task name is dynamically set to VIP Ticket:{{ $('Check High Priority').item.json.description }}, ensuring the ticket description is carried over.
Send Telegram Alert1 (Telegram n8n node):
Function: Sends an immediate, formatted notification to a designated chat.
Key Configuration: Uses dynamic expressions to embed the ticket subject and requester email into the alert message, ensuring rapid response from the team. This powerful n8n node provides instant visibility.
