Who is this best for?

  • Teams that frequently host and record meetings via Zoom and need reliable backup.

  • Administrators seeking an organized system for meeting compliance and archival.

  • Users looking for advanced n8n templates integrating Cloud Storage and databases.

  • Automation specialists wanting to learn how to handle large file downloads within an n8n node sequence.

Overview

Managing high volumes of meeting recordings can be cumbersome, leading to file loss or disorganized storage. This sophisticated n8n workflow solves that problem by providing a seamless, end-to-end solution for Zoom recording management. Once a recording is finalized, the Zoom webhook acts as the n8n trigger, initiating the process. The file is instantly downloaded and uploaded to Google Drive for secure storage. Crucially, metadata like the host, topic, and file link is recorded in Airtable. This n8n template ensures that your vital meeting documentation is always backed up and easily searchable, vastly improving operational efficiency. This specific n8n workflow demonstrates the power of combining multiple services using custom code and standard n8n nodes.

How it Works

The entire process is triggered by the Zoom Recording Webhook n8n node, which listens for the recording.completed event from Zoom.

  1. Normalization: The incoming JSON payload from Zoom is processed by the first Code n8n node ('Normalize Recording Data'), which extracts key fields such as the meeting ID, host email, topic, and the secure download URL for the recording file.

  2. Download: An HTTP Request n8n node ('Download Recording') uses the secure download URL to retrieve the video file, holding it temporarily within the n8n workflow context.

  3. Storage: The Google Drive n8n node ('Upload to Google Drive') then takes the retrieved binary file and uploads it directly to the designated Google Drive folder.

  4. Data Enrichment: A second Code n8n node ('Log Result') merges the Google Drive file details (like the Drive ID and public view link) back into the original metadata item.

  5. Logging: Finally, the Airtable n8n node ('Create or update a record') uses the upsert operation to log all collected information—including the meeting ID, topic, host, and a confirmation that the file was successfully saved to Drive—into the designated Airtable 'Zoom Meeting Log' table. This complete n8n workflow guarantees data synchronization and reliable backup.

Installation Guide

To deploy this useful n8n workflow, follow these steps:

  1. Import: Copy the provided JSON data and paste it into your n8n instance via the 'Import from JSON' option to establish this n8n template.

  2. Zoom Webhook Setup: Activate the 'Zoom Recording Webhook' n8n trigger. Copy the generated webhook URL. In your Zoom Marketplace App settings, configure the webhook to send 'Recording Completed' events to this URL.

  3. Google Drive Credentials: Configure the 'Upload to Google Drive' n8n node. You must set up an OAuth2 credential for Google Drive and select the specific folder ID where you wish to save the recordings.

  4. Airtable Credentials: Set up an API Token or Personal Access Token credential for the Airtable n8n node. Update the 'Create or update a record' n8n node by selecting your Base ID and the 'Zoom Meeting Log' table. Ensure your table columns match the configured fields (Meeting ID, Topic, Host, File Type, File Size, Google Drive Saved).

  5. Activation: Save the n8n workflow and set it to 'Active' to start listening for the Zoom n8n trigger.

Node Details

  • Zoom Recording Webhook (n8n trigger): The starting point of the n8n workflow. It listens for POST requests from Zoom when a meeting recording is ready. Key configuration: uses the path zoom-recording.

  • Normalize Recording Data (Code n8n node): Essential for transforming the raw Zoom payload into a usable data structure. It uses custom JavaScript to extract key fields like file_url and host.

  • Download Recording (HTTP Request n8n node): Retrieves the large binary recording file from the Zoom download URL specified in the previous step.

  • Upload to Google Drive (Google Drive n8n node): Handles the file transfer, taking the binary data from the HTTP Request n8n node and storing it securely in the user’s Google Drive. Key configuration: uploads to the root folder ('My Drive') by default.

  • Log Result (Code n8n node): Merges the output from the Google Drive n8n node (file ID, link) with the initial meeting metadata, ensuring the Airtable logging step has the full, updated context.

  • Create or update a record (Airtable n8n node): The final action, logging the meeting metadata (Host, Topic, Meeting ID) to the specified Airtable base, providing a searchable index for all saved recordings. It is configured to upsert based on the Meeting ID.
