Who is this best for?

  • Cloud Storage Administrators: Who frequently need to process and organize large batches of files into specific folders.

  • Teams Needing Submission Tools: Ideal for capturing customer data, media assets, or documents via a simple public form and ensuring organized cloud storage.

  • n8n Users Seeking Advanced Templates: Those looking for a robust n8n template that demonstrates complex binary data handling and conditional logic (If node).

  • Automation Specialists: Anyone looking to leverage the n8n trigger functionality for public-facing file ingestion.

Overview

Managing large volumes of files often results in disorganized cloud storage and significant manual effort. This specific n8n workflow solves this by providing a unified entry point for batch uploads, powered by an n8n trigger form. When files are submitted, the n8n node sequence automatically checks Google Drive for the specified folder name. If the folder exists, files are uploaded instantly. If it does not exist, the workflow creates the folder before processing the uploads. This powerful combination ensures that every file is correctly categorized and stored, making this n8n template essential for streamlined file management operations. By utilizing key n8n node components, we ensure reliable, high-volume processing.

How it Works

This automation begins with the On form submission n8n trigger. This node exposes a public form requiring users to upload one or more files and specify a target folderName.

  1. Data Extraction: The flow immediately uses a Set n8n node to extract and isolate the desired folder name.

  2. Folder Search: A Google Drive n8n node executes a precise query, searching for an existing folder matching the submitted name within a designated parent directory. Crucially, this node is configured to always output data, even if no folder is found.

  3. Conditional Check: An If n8n node evaluates the results of the search. If data was returned (meaning the folder exists), the flow proceeds down the TRUE path. If no folder data exists, it takes the FALSE path.

  4. FALSE Path (New Folder Creation): The workflow uses a Google Drive n8n node to execute the Create Folder operation. Following creation, a dedicated Code n8n node, Prepare Files for New Folder, iterates through the original binary file data from the n8n trigger, splitting each file into its own item with corresponding metadata. Finally, the Upload to New Folder n8n node uploads the individual files.

  5. TRUE Path (Existing Folder Upload): A similar Code n8n node, Prepare Files for Upload, splits the binary data. The Upload Files Google Drive n8n node then uses the folder ID found in the initial search to upload all files to the correct existing location. Both paths leverage the robust binary handling capabilities of the n8n workflow engine to ensure successful batch processing.

Installation Guide

To deploy this useful n8n workflow, follow these steps:

  1. Import the JSON: Copy the provided JSON data and import it directly into your n8n instance via the 'Workflows' section by clicking 'New' and selecting 'Import from JSON'.

  2. Credentials Setup: You must configure a Google Drive credential for the Google Drive n8n node instances. Ensure the credentials have adequate permissions to read, create folders, and upload files to your specified Drive.

  3. Configure Search Node: In the Search specific folder Google Drive n8n node, update the queryString to replace with the actual ID of the parent folder where you want this automation to operate (e.g., the ID of your 'Client Uploads' folder).

  4. Configure Create Folder Node: In the Create Folder Google Drive n8n node, ensure the Folder ID parameter specifies the same parent folder ID as step 3.

  5. Activate the n8n Workflow: After configuration, activate the n8n workflow. The URL for the trigger form will then be available in the On form submission node configuration. You can now use this URL to initiate file uploads.

Node Details

On form submission (n8n trigger): Starts the n8n workflow when a user submits the generated web form. It is configured to accept both a required file (allowing multiple) and a folderName string.
Search specific folder (Google Drive n8n node): Uses a complex query (mimeType='application/vnd.google-apps.folder' and name = '{{ $json.folderName }}' and '' in parents) to check for folder existence. The 'Always Output Data' option is enabled to ensure the If node receives an item, even if empty.
Folder found ? (If n8n node): Determines the execution path by checking if the input data array is not empty, confirming whether a matching Google Drive folder was located by the previous n8n node.
Create Folder (Google Drive n8n node): Executes only if the folder does not exist. It uses the folderName input from the original n8n trigger to create a new folder.
Prepare Files for Upload/New Folder (Code n8n node): This is a critical n8n node for batch processing. It iterates over the binary file objects received from the n8n trigger and converts them into individual items, ensuring each file has its own execution item for the subsequent upload node, thus supporting bulk uploads reliably.
Upload Files/Upload to New Folder (Google Drive n8n node): The final action. These n8n node instances upload the prepared binary files, using the dynamically retrieved or newly created folder ID for the destination.
