Who is this best for?

  • Restaurant Owners/Managers: Seeking to automate their 24/7 reservation desk without custom database solutions.

  • n8n Automation Specialists: Interested in complex AI Agent implementations using the LangChain n8n node suite.

  • Developers: Needing an advanced n8n templates example demonstrating coordinated data manipulation (CRUD) across multiple tools from a single AI query.

  • Businesses: Utilizing Google Sheets as a primary, accessible backend for operational data.

Overview

Managing reservations often requires human interaction to confirm availability and process bookings. This sophisticated n8n workflow eliminates that requirement by deploying an expert AI Agent, 'Julian, the Reservation Concierge,' powered by OpenAI.

This n8n templates solution connects to your Google Sheet inventory (Tables, Availability, Reservations) via dedicated n8n node tools. When a customer initiates a chat (via the n8n trigger), the AI Agent leverages its internal memory and calculation tool to assess the request, check real-time availability across three different sheets, calculate the next unique Reservation ID, and then execute complex write operations (Append, Update, Delete) across the relevant sheets.

This architecture ensures atomic data management: updating a reservation not only adds the new booking but also correctly marks the old time slot as available, all handled autonomously by the core AI Agent n8n node logic.

How it Works

The entire process is initiated by the custom n8n trigger:

  1. Incoming Request (The n8n trigger): The When chat message received n8n trigger node detects a new conversational input (e.g., from a custom chat widget or platform connector not explicitly shown).

  2. AI Orchestration: The incoming message is passed to the core AI Agent n8n node. This agent is configured with a rich system message defining its personality, its task flows (Make, Update, Cancel), and critical constraints (e.g., never book in the past, always use the correct Slot ID).

  3. Data Consultation: The agent uses the OpenAI Chat Model for reasoning, the Simple Memory n8n node for context, and accesses several Google Sheets n8n tools (Get Table Information, Get Table Availability, Get Table Reservations) to gather all necessary data.

  4. ID Calculation: If a new booking is requested, the agent invokes the Calculator n8n node specifically to look up the maximum existing Reservation ID and increment it by one, ensuring unique identifiers are generated within this n8n workflow.

  5. Execution of Action: Based on the customer's intent (e.g., booking), the AI Agent executes a sequence of n8n node actions:

It uses the Update Reservations n8n node (Append operation) to record the new booking details.
It immediately uses the Update Table Availabilty n8n node (Update operation) to change the status of the corresponding Slot ID from 'Available' to 'Reserved'.

  1. Cancellation/Modification Logic: For cancellations, the agent first reads the row details and then uses the Cancel Reservations n8n node (Delete operation) followed by the Update Table Availabilty n8n node to revert the slot status to 'Available'.

  2. Final Response: The AI Agent generates a friendly confirmation message back to the user via the initial n8n trigger connection, completing the reservation n8n workflow cycle.

Installation Guide

To deploy this comprehensive n8n workflow, follow these steps:

  1. Import the n8n Workflow: Copy the provided JSON data and import it into your n8n instance via the 'Workflows' menu using the 'New' -> 'Import from JSON' option.

  2. Configure Credentials:

OpenAI: Set up your OpenAI API key credentials for the OpenAI Chat Model n8n node.
Google Sheets: You must establish a Google Sheets OAuth2 API credential, ensuring it has read/write permissions for the specific spreadsheet acting as your reservation database. All Google Sheets n8n node connections require this.

  1. Set up Google Sheet Structure: This n8n template relies on a specific Google Sheet structure containing three tabs:

Tables (for features and capacity).
Availability (for time slots and current status, matched by Slot ID).
* Reservations (the transaction log of confirmed bookings).

  1. Configure Document IDs: In all Google Sheets Tool n8n nodes, replace the placeholder Document ID with the actual ID of your reservation Google Sheet.

  2. Activate: Save the n8n workflow and activate it using the toggle. The When chat message received n8n trigger will now be listening for inputs.

Node Details

When chat message received (n8n trigger): The starting point of the n8n workflow. It acts as a webhook to receive incoming chat messages and waits for the AI Agent's response before replying.
OpenAI Chat Model: Uses a powerful model like GPT-4 mini (configured here) for core reasoning and language generation, crucial for the AI Agent n8n node.
Simple Memory: A LangChain memory buffer n8n node that maintains conversational history, allowing the AI agent to reference previous messages within the same session.
Calculator: A dedicated n8n node tool used exclusively by the AI Agent to perform mathematical tasks, specifically calculating the next unique Reservation ID by incrementing the maximum ID found.
Get Table Information / Availability / Reservations (Google Sheets Tool): These three n8n node tools act as read-only lookups, providing the AI Agent with the necessary operational data from the Google Sheets backend.
Update Reservations (Google Sheets Tool): Configured to the 'Append' operation to add new reservation rows, mapping AI-generated data (like Slot ID, Customer Name, and the calculated Reservation ID) into the sheet.
Update Table Availabilty (Google Sheets Tool): Set to the 'Update' operation, matching rows by 'Slot ID' to toggle the 'Status' column between 'Reserved' and 'Available'. This maintains data integrity across the n8n workflow.
Cancel Reservations (Google Sheets Tool): Configured to the 'Delete' operation, removing the reservation row based on details provided by the AI Agent.

  • AI Agent (LangChain Agent n8n node): The central orchestrator. It uses the detailed system instructions to decide which tool n8n node to execute and in what order, translating customer intent into specific data actions across the Google Sheets components of this n8n workflow.
