Who is this best for?

Operations Managers: Who rely on daily input forms (e.g., incident reports, daily logs). Project Leaders: Who use forms to track team requests or status updates. n8n Users: Anyone seeking powerful n8n templates for reducing email noise and centralizing critical data. Administrative Assistants: Needing to consolidate submissions from various departments into a manageable daily report.

Overview

Receiving individual email notifications for every Google Form submission can quickly overwhelm an inbox, causing important details to be lost. This specialized n8n workflow solves this by shifting from instant notifications to a single, structured daily recap.

Using this automation, the n8n trigger runs once a day, collecting all rows added to the linked Google Sheet since the last run. A powerful n8n node (the Code node) then processes and formats this data, grouping submissions by category and presenting them neatly in an HTML table. The result is a clean, comprehensive daily email digest, making this one of the most effective n8n templates for administrative efficiency.

How it Works

This n8n workflow operates on a strict schedule to ensure timely data consolidation.

  1. Scheduled n8n Trigger: The process begins with the Google Sheets Trigger n8n node. This specific n8n trigger is configured to poll the linked Google Sheet every day at 5:00 PM (17:00). It pulls all rows added since its last execution.

  2. Data Aggregation and Formatting: The workflow then passes all retrieved submissions to the 'Generate the email' Code n8n node. This custom script iterates over every submission item.

It identifies key data points like 'Category', 'Question/Request', and 'From/Email Address' (handling common variations like 'Catégorie' or 'Name').
It groups these requests into categories and generates a single, comprehensive HTML output ready for email.

  1. Consolidated Email Delivery: Finally, the 'Sum up email' Gmail n8n node takes the HTML content generated by the previous step and sends a single email to the specified recipient. The subject line is set to 'The requests you received today', delivering a full daily recap efficiently.

Installation Guide

To deploy this n8n workflow and start using this automation, follow these steps:

  1. Import the n8n Workflow: Copy the provided JSON code and paste it into your n8n instance using the 'New' > 'Import from JSON' function.

  2. Set up Google Sheet: Ensure you have an active Google Form linked to a specific Google Sheet where responses are stored.

  3. Configure the Trigger n8n node ('Trigger data for new row'):

Select or create credentials for the Google Sheets Trigger API.
Specify the URL or ID of your target Google Sheet.
Ensure the pollTimes setting is configured for your desired daily summary time (default is 17:00).

  1. Configure the Gmail n8n node ('Sum up email'):

Select or create your Gmail OAuth2 credentials.
* Update the sendTo parameter with the email address that should receive the daily summary.

  1. Activate: Save the n8n workflow and toggle it to 'Active'. The n8n trigger will now run daily at the scheduled time.

Node Details

Google Sheets Trigger (Trigger data for new row)
Function: Acts as the primary n8n trigger, initiating the daily execution. It polls the specified Google Sheet for new rows.
Key Configuration: Event set to rowAdded. It uses a polling schedule, typically set for daily aggregation (17:00 in this example).
Code n8n node (Generate the email)
Function: This critical n8n node aggregates and transforms the incoming data items (new rows) into a structured HTML digest. It intelligently handles different column names for categorization and sender details.
Key Configuration: The script groups submissions by category ('Catégorie', 'Category', or 'Non classé') and outputs a single JSON item containing the html ready for emailing.
Gmail n8n node (Sum up email)
Function: Sends the final, consolidated email digest using the HTML generated in the previous step.
* Key Configuration: Uses an Expression (={{$json.html}}) to dynamically insert the summary content into the message body. The subject is hardcoded as 'The requests you received today'. This demonstrates the final action of this n8n workflow.
