Who is this best for?

  • Project Managers needing daily visibility into delayed tasks.

  • Team Leads focused on boosting accountability and meeting deadlines.

  • Operations Specialists looking for efficient reporting n8n templates.

  • Users who want to learn how to integrate ClickUp and Gmail using an advanced n8n workflow.

Overview

Maintaining oversight on overdue tasks is critical for project success. Manually checking and compiling these reports daily is time-consuming and prone to error. This efficient n8n workflow automates the entire accountability process. It connects to your ClickUp instance, retrieves all tasks marked as overdue, processes and structures this raw data into a readable format, and then sends a compiled report directly to key stakeholders via Gmail.

By leveraging this customizable n8n template, teams ensure that no critical task slips through the cracks, allowing immediate remediation and improved sprint management. This n8n automation eliminates manual reporting overhead, making it an indispensable tool for productive teams.

How it Works

This automation is initiated by an n8n trigger, designed to run daily (though currently set to manual execution for testing). The flow consists of five core steps:

  1. Trigger: The workflow is executed daily using a Schedule n8n trigger (or manually via the 'When clicking 'Execute workflow'' n8n node for testing).

  2. Data Retrieval (ClickUp): The ClickUp n8n node, 'Get many tasks,' connects to the specified space or list and queries for tasks that meet the overdue criteria. This provides the raw dataset necessary for the report.

  3. Data Processing ('Process Sprint Data'): The first Function n8n node takes the task data received from ClickUp and refines it. This step usually involves filtering the tasks further, extracting key fields (like assignee, due date, task name, and URL), and preparing the structure.

  4. Report Generation ('creating report'): The second Function n8n node takes the processed data and dynamically generates the HTML body of the email report. This ensures the output is well-formatted and easy to read in the final email.

  5. Delivery (Gmail): Finally, the Gmail n8n node sends the compiled report. The subject line clearly identifies it as the daily overdue task alert, ensuring immediate attention from the recipients.

Installation Guide

To install and utilize this n8n workflow, follow these steps:

  1. Import the n8n Template: Copy the provided JSON code and paste it into your n8n instance using the 'New' -> 'Import from JSON' option.

  2. Set up Credentials: You must configure credentials for the two main services used in this n8n workflow:

ClickUp: Connect your ClickUp API key. Ensure the key has permissions to read tasks from the relevant spaces/lists configured in the 'Get many tasks' n8n node.
Gmail: Authenticate your Gmail connection. This needs permission to send emails from your designated account.

  1. Configure ClickUp Node: In the 'Get many tasks' n8n node, update the List ID or Space ID to target the specific area within ClickUp you wish to monitor for overdue tasks.

  2. Update Recipients: In the 'Send Daily Report Email' n8n node (Gmail), configure the 'To' field with the email addresses of the project managers and team leads who should receive this daily accountability report.

  3. Activate the n8n Trigger: Replace the initial 'When clicking 'Execute workflow'' n8n trigger with a 'Schedule' n8n node set to run at a specific time each day (e.g., 8:00 AM). Set the workflow status to 'Active'.

Node Details

When clicking 'Execute workflow' (Manual Trigger n8n node): Serves as the starting n8n trigger during testing. For production use, it should be replaced by a Schedule node to ensure daily, automated execution of the n8n workflow.
Get many tasks (ClickUp n8n node): This is the core data extraction step. It connects to ClickUp and fetches tasks, likely utilizing filters for due date and status to isolate overdue items.
Process Sprint Data (Function n8n node): A custom scripting n8n node used to transform the complex JSON output from ClickUp into a simpler, standardized structure. It prepares the data for inclusion in the final email report.
creating report (Function n8n node): Responsible for compiling the final report body. It typically uses JavaScript to iterate over the filtered tasks and generate clean HTML for the email, creating a highly readable output from this n8n template.

  • Send Daily Report Email (Gmail n8n node): The final action node. It takes the HTML content generated by the previous n8n node and sends it to the specified recipients with a predefined subject line (e.g., 'Daily Overdue Tasks Report').
