Who is this best for?

  • DevOps Engineers needing critical, multi-channel alerts when automated processes fail in an n8n workflow.

  • System administrators seeking reliable monitoring solutions using n8n.

  • Users who run mission-critical processes and require instantaneous failure notifications managed by an n8n trigger.

  • Anyone looking for advanced n8n workflow management and robust error handling.

Overview

This n8n workflow provides a critical layer of resiliency for any automation environment. When other primary n8n workflows encounter unhandled errors, this specific n8n template automatically catches the incident details via the powerful Error n8n trigger. It solves the problem of delayed incident response by immediately sending urgent notifications through WhatsApp—ideal for immediate operational alerts—followed by a more detailed, formal email via Gmail, which serves as a durable record. This n8n workflow is meticulously designed to notify multiple recipients using distinct communication channels simultaneously, ensuring no critical error goes unnoticed and enhancing the reliability of your entire n8n automation suite.

How it Works

This comprehensive n8n workflow begins with the specialized Error Trigger n8n node, which listens for failures occurring in any monitored n8n workflow.

  1. Data Capture & Setting: Once triggered, the setrecipientEMAIL/NUMBER n8n node captures vital error details (failing n8n workflow name, detailed error message, and the last executed n8n node) and manually defines multiple target recipient emails and phone numbers.

  2. Item Separation: The separate items Code n8n node executes a custom script. Its function is to split the recipient list into multiple individual items. This ensures each defined recipient pair (e.g., Email1/Phone1, Email2/Phone2) receives their own unique alerts, allowing the workflow to handle multi-recipient sending efficiently.

  3. Urgent Notification (WhatsApp): The flow utilizes the WhatsApp n8n node (Send message) to send an immediate, high-priority alert containing concise failure details to the phone number defined in the current item.

  4. Rate Limit Management: The flow then proceeds through the Wait n8n node, introducing a brief, necessary delay to adhere to API rate limits or simply separate the urgent alert from the formal report.

  5. Formal Notification (Gmail): Finally, the Gmail n8n node (Send Email) sends a detailed email alert to the corresponding email address, which includes the complete error message, providing a lasting archive and formal record of the incident for the entire n8n platform.

Installation Guide

  1. Import the n8n template: Copy the provided JSON code and import it directly into your n8n instance via the Workflows section.

  2. Configure Credentials: Set up required credentials for the following n8n nodes:

WhatsApp: Requires an API credential (e.g., Meta Cloud API) to send urgent messages.
Gmail: Requires a Gmail OAuth2 credential for sending structured emails.

  1. Update Recipients: Open the setrecipientEMAIL/NUMBER n8n node and replace the placeholder values (yourmailadress, yourphonenumber) with the actual contact details of the alert recipients who need to receive this n8n workflow alert.

  2. Link Error Workflow: To monitor another n8n workflow, navigate to that workflow's settings, find the "Error Workflow" field, and select this newly imported n8n template by name. This activates the Error n8n trigger.

  3. Activate: Ensure this error handling n8n workflow is activated so that the Error Trigger n8n node can function correctly.

Node Details

Error Trigger (n8n trigger):
Function: The special n8n trigger that initiates the entire automation upon detecting a failure in any linked n8n workflow. It automatically captures essential error metadata like the failing n8n node.
Key Configuration: Activated by selecting this workflow in the settings of other workflows.
setrecipientEMAIL/NUMBER (Set n8n node):
Function: Used to manually define multiple recipient email addresses and phone numbers, and structures the captured error data using expressions.
Key Configuration: Defines explicit string variables for recipients and captures dynamic error details like execution.lastNodeExecuted.
separate items (Code n8n node):
Function: Executes custom JavaScript to split the incoming data item into two separate items, ensuring that the WhatsApp and Gmail notifications are sent individually to two different sets of contacts. Critical for this multi-recipient n8n workflow.
Key Configuration: Contains custom JS logic to pair Email1/Phone1 and Email2/Phone2.
Send message (WhatsApp n8n node):
Function: Sends the critical, immediate notification to the defined phone number. This is the urgent alert channel provided by this n8n template.
Key Configuration: Uses dynamic expressions to pull the phone number and constructs a message detailing the failing n8n node.
Wait (n8n node):
Function: Introduces a controlled delay between the urgent WhatsApp alert and the subsequent formal Gmail notification.
Key Configuration: Ensures communication is spaced appropriately.
Send Email (Gmail n8n node):
Function: Sends the second, formal notification via email, containing the full error message for archival purposes. This n8n node completes the dual-channel reporting.
Key Configuration: Dynamically sets the recipient address and includes detailed error messaging in the body.
