Who is this best for?

  • HR Managers and Recruiting Coordinators needing streamlined scheduling.

  • Automation Engineers seeking advanced n8n templates for data synchronization.

  • Teams who use Cal.com for interviews and Google Sheets for applicant tracking.

  • Users looking for a pre-built n8n workflow solution to maintain clean data hygiene.

Overview

Manually synchronizing scheduled interviews from a tool like Cal.com back into an applicant tracking spreadsheet (Google Sheets) is time-consuming and error-prone. This specialized n8n workflow solves this problem by creating a hands-off system for updating and validating applicant data.

The automation begins by retrieving all current Cal.com bookings via the API. It uses a custom n8n node to process and format the interview time into a human-readable format, specifically handling time zone conversion for accuracy (Asia/Riyadh in this configuration). Crucially, after updating the relevant applicant row in the Google Sheet, the n8n workflow then performs a data cleanup operation. It iterates through all records and uses an n8n node check to identify candidates who were scheduled but whose records lack essential summary data, subsequently deleting those invalid rows. This ensures your master applicant list stays clean and perfectly aligned with scheduled interviews, making this one of the most useful n8n templates for recruiting operations.

How it Works

This n8n workflow is designed to run periodically to synchronize data and maintain sheet cleanliness.

  1. Trigger: The n8n trigger is executed manually or can be scheduled to run at regular intervals.

  2. Fetch Cal.com Data: Two HTTP Request n8n nodes connect to the Cal.com API to retrieve all attendee and detailed booking information.

  3. Data Formatting (Code n8n Node): A custom Code n8n node processes the startTime from Cal.com, converting it into a consistent date and time format and extracting the attendee’s email and name.

  4. Data Preparation: A Set n8n node ensures the email is standardized (lowercase) and maps the newly formatted interview time to the Interview Schedule field.

  5. Update Google Sheets: A Google Sheets n8n node performs an appendOrUpdate operation, matching existing rows based on the candidate's Email and adding the scheduled interview time.

  6. Start Cleanup Iteration: The n8n workflow retrieves all current sheet data and then uses the Split Out and Split In Batches n8n nodes to loop through every candidate row.

  7. Data Validation (If n8n Node): An If n8n node checks if the SUMMARY field for the record is empty (=). This acts as the flag for incomplete or unmatched data.

  8. Deletion: If the condition is met (incomplete data), a Google Sheets n8n node executes the delete operation, removing the row using the stored row index. If the condition is false, the n8n workflow proceeds to the next item.

Installation Guide

To deploy and use this powerful n8n workflow, follow these steps:

  1. Import: Import this n8n JSON file into your n8n instance.

  2. Cal.com Setup: Locate the two HTTP Request n8n nodes ('Fetching Booking Information' and 'HTTP Request1'). In both nodes, replace the placeholder YOUR API KEY HERE with your active Cal.com API key.

  3. Google Sheets Credentials: You must set up Google Sheets credentials. Connect your Google Sheets account to the three Google Sheets n8n nodes ('Adding Time & Date for interview', 'Google Sheets1', 'Deleting').

  4. Sheet Configuration: Ensure all three Google Sheets n8n nodes are configured to point to the correct Document ID and Sheet Name where your applicant data is stored.

  5. Code Node Customization (Optional): If you operate in a different time zone, update the timeZone: "Asia/Riyadh" parameter within the 'Converting to time' Code n8n node to your desired locale.

  6. Execution: Once credentials are set, execute the n8n workflow to begin synchronization.

Node Details

  • Manual Trigger: The initial n8n trigger used to manually run or integrate with external scheduling systems.

  • HTTP Request (Cal.com): Used twice to interface with the Cal.com API (/v1/attendees and /v1/bookings). It fetches the raw scheduling data required for processing.

  • Code (Converting to time): A custom n8n node that formats the raw Unix timestamp from Cal.com into a localized date string (day/month/time) and specifies the output timezone. This is critical for data quality in this n8n workflow.

  • Set (Edit Fields1): Cleans and standardizes the incoming data, specifically converting the applicant's email address to lowercase for reliable matching.

  • Google Sheets (Append/Update): This Google Sheets n8n node handles the primary write operation. It matches candidates based on their email and updates the row with the formatted interview schedule.

  • Google Sheets (Get All): Used later in the n8n workflow to pull the entire dataset back into n8n for comparison and cleanup purposes.

  • Split In Batches (Iterate over emails): Manages the iterative cleanup process, ensuring that the If n8n node and Delete operation run sequentially for every record retrieved from the sheet.

  • If (Check for unmatched Emails): The decision-making n8n node. It checks for a lack of application summary data, flagging the item for deletion if the summary field is empty.

  • Google Sheets (Delete): Executes the final cleanup action, removing rows identified by the If n8n node as incomplete or unmatched.
