When managing webinars, fast and accurate lead entry into your marketing platform is critical. This powerful n8n workflow solves the common challenge of disparate data formats between submission forms (JotForm) and CRM systems (KlickTipp).

The automation begins with the n8n trigger listening for new registrations. It leverages a sophisticated data cleaning process—a key component of this n8n template—to ensure data integrity. Phone numbers are standardized, complex dates are converted to required UNIX timestamps, and URLs are validated. Finally, the contact is subscribed, and the workflow dynamically checks if necessary segmentation tags (based on webinar choice, date, and reminder interval) already exist in KlickTipp. If they don't, the n8n node creates them before tagging the new subscriber, ensuring immediate segmentation for follow-up campaigns. This complete n8n solution drastically reduces manual administrative work and speeds up lead qualification.

This robust n8n workflow operates through three primary phases: Triggering and Data Preparation, Contact Subscription, and Dynamic Tag Management.

1. Trigger and Preparation: The workflow starts immediately upon a new form submission via the JotForm n8n trigger node (New webinar booking via JotForm). The data then flows to the Convert and set webinar data n8n node, where intensive cleaning occurs, including converting dates to UNIX timestamps, formatting phone numbers for international use, and validating LinkedIn URLs.


2. Contact Subscription: The cleaned data is passed to the Subscribe contact in KlickTipp n8n node, which creates or updates the subscriber in KlickTipp, mapping custom fields like birthday, work experience, and webinar start time.


3. Dynamic Tag Management: Simultaneously, the n8n workflow prepares for precise segmentation. It uses the Define Array of tags from Jotform n8n node to generate a list of required tags based on the user's form answers (e.g., webinar selection). This list is split (Split Out Jotform tags) and merged (Merge) against a list of all existing tags fetched from KlickTipp (Get list of all existing tags).


4. Conditional Tagging: The Tag creation check n8n node uses conditional logic to determine the next step. If the tag already exists, the flow aggregates the existing tag ID (Aggregate tags to add to contact) and applies it directly (Tag contact directly in KlickTipp). If the tag is new, the flow creates it first (Create the tag in KlickTipp), aggregates the new ID (Aggregate array of created tags), and then applies the new tag to the contact (Tag contact KlickTipp after trag creation). This sophisticated flow control makes this n8n workflow highly flexible.

To deploy this comprehensive n8n template, follow these steps:

1. Import: Copy the provided n8n workflow JSON code and import it into your self-hosted or cloud n8n instance.


2. JotForm Setup: Configure the New webinar booking via JotForm n8n trigger node. You will need to select the specific JotForm you wish to monitor and ensure you have an active JotForm API credential set up in n8n.


3. KlickTipp Credentials: Provide API credentials for your KlickTipp account in the KlickTipp n8n node configurations (Subscribe contact in KlickTipp, Get list of all existing tags, etc.).


4. Custom Field Mapping: Crucially, review the field mapping in the Subscribe contact in KlickTipp n8n node. Ensure the fieldId values (e.g., field214129, field214128) match the custom field IDs configured within your KlickTipp account. If your form fields differ, adjust the data mapping within the Convert and set webinar data n8n node accordingly.


5. Activation: Once all credentials and field mappings are verified, activate the n8n workflow.

New webinar booking via JotForm (JotForm Trigger n8n node)
Function: Acts as the starting n8n trigger, initiating the entire n8n workflow upon a successful form submission.
Key Configuration: Linked to a specific JotForm ID (e.g., 250054687472360).

Convert and set webinar data (Set n8n node)
Function: Performs critical data transformation and validation required by KlickTipp.
Key Configuration: Uses JavaScript expressions to convert birthday fields to UNIX timestamp, format mobile numbers using '00' prefix, and validates LinkedIn profile URLs with a fallback value.

Subscribe contact in KlickTipp (KlickTipp n8n node)
Function: Adds the cleaned contact data to a specific KlickTipp list and maps various registration details to custom fields.
Key Configuration: Uses the subscriber resource and subscribe operation, mapping fields like email, first/last name, and custom fields related to the webinar and professional experience.

Define Array of tags from Jotform (Set n8n node)
Function: Gathers key information from the form submission (webinar choice, date, reminder interval) and bundles them into an array of dynamic tags for later segmentation.

Get list of all existing tags (KlickTipp n8n node)
Function: Fetches the complete list of tags present in the KlickTipp account for comparison.

Merge (Merge n8n node)
Function: Compares the desired tags from JotForm against the existing tags from KlickTipp using a SQL query to identify which tags need creation (exist: false) and which can be used immediately (exist: true).
