Who is this best for?

  • DevOps teams needing reliable website uptime monitoring.

  • System administrators who manage multiple critical web assets.

  • Users looking for an advanced, self-hosted n8n solution that avoids SaaS monitoring fees.

  • Professionals requiring immediate, multi-channel alerting, including automated phone calls.

Overview

Maintaining high availability requires immediate notification when a service fails. This comprehensive n8n workflow provides a robust solution for monitoring an unlimited list of websites defined in a Google Sheet. By leveraging the power of an n8n trigger for scheduled execution, the workflow systematically checks each site's status. Crucially, this advanced n8n workflow handles state management using a secondary Google Sheet, ensuring that you are only notified once when a site goes down and once when it recovers, preventing notification fatigue.

This specific n8n template distinguishes itself by offering multi-modal critical alerting, including email (Gmail), team collaboration (Slack, Telegram), and urgent notifications via automated phone calls using the Vapi API. This setup ensures that critical downtime alerts are never missed, making this n8n automation essential for proactive site management.

How it Works

This n8n workflow is initiated by the Schedule Trigger, running checks at predefined intervals.

  1. Read Target URLs: The workflow begins by retrieving a list of websites from a Google Sheets document using the Website URLs n8n node.

  2. Loop and Check: The Loop Over Items n8n node iterates through each URL. The Check website status HTTP Request node attempts to reach the website.

  3. Determine Status: An If Site Up n8n node branches the flow based on the HTTP status code received (in this specific configuration, a status code of 400 is used to route to the recovery check, and anything else routes to the downtime check).

  4. Downtime Detection (If site is likely down): If a potential downtime is detected, the workflow uses Get Existing Down Records and Find Existing Record (a Code n8n node) to check if an unresolved downtime record already exists in the log sheet. If no active record exists, the site has just gone down. The Add Downtime Record n8n node logs the 'Down Time' to Google Sheets, and the workflow executes the Down notification sequence (Gmail, Slack, Telegram, and Notify over Phone Call via Vapi).

  5. Recovery Detection (If site is likely up): If the status code matches the recovery criteria, the Get Active Down Record n8n node checks for an incomplete log entry. If found, the Update Uptime and Total Downtime Google Sheets n8n node calculates the total downtime using custom JavaScript logic and updates the log. It then sends Up notifications via Gmail, Slack, and Telegram, confirming recovery.

Installation Guide

To deploy this powerful n8n workflow template, follow these steps:

  1. Import: Copy the provided JSON into your self-hosted or cloud n8n instance.

  2. Google Sheets Setup: Configure the Google Sheets credentials. Ensure you have two sheets in your specified document: Sheet 1 (used by Website URLs) for listing the domains to monitor (e.g., column 'Website URL'), and Sheet 2 (used by the logging nodes) for storing downtime/uptime logs.

  3. Vapi Setup: Set up your Vapi credentials for the Notify over Phone Call n8n node. You must replace assistantId, phoneNumberId, and the Authorization header (Bearer vapiapikey) with your specific Vapi integration details. Update the target phone number +919999999999 to your required alert number.

  4. Notification Credentials: Configure credentials for Gmail, Slack, and Telegram n8n node instances.

  5. Activate: Enable the Schedule Trigger and activate the n8n workflow.

Node Details

This n8n workflow utilizes 17 key nodes to manage monitoring, state, and communication:

Schedule Trigger: The starting n8n trigger, configured to run the monitoring checks periodically.
Website URLs (Google Sheets): Reads the list of URLs defined in the monitoring sheet.
Loop Over Items (Split In Batches): Ensures each website is processed sequentially within the n8n workflow run.
Check website status (HTTP Request): Performs the actual health check against the URL defined in the loop.
Google Sheets Nodes (Get Active Down Record, Get Existing Down Records, Add Downtime Record, Update Uptime and Total Downtime): These four Google Sheets n8n node instances manage persistent logging and state. Update Uptime and Total Downtime contains custom JS to calculate duration between Down Time and Up Time.
Find Existing Record (Code): Custom n8n node logic used to analyze the retrieved sheet data and determine if there is an existing, unresolved downtime event for the current URL.
If Nodes (If Site Up, If Down Record Exist, Check Downtime Exists): These n8n nodes handle the complex branching logic to distinguish between:
Initial Downtime Alert (no active record).
Site Recovery Alert (active record found and site is up).
Ignoring status if the downtime alert was already sent.

  • Notification Nodes (Gmail, Slack, Telegram, Notify over Phone Call): The final action n8n node steps, sending custom alerts for both 'Down' and 'Up' events. The Notify over Phone Call n8n node uses the Vapi API for critical voice alerts.
