Who is this best for?

  • Marketing professionals needing automated lead ingestion into multiple CRMs.

  • Developers looking for powerful n8n templates for handling webhooks and forms.

  • Business owners who need a no-code solution for data collection via an n8n form trigger.

  • Users who want an advanced example of using the Code n8n node for crucial data manipulation.

Overview

This powerful n8n workflow demonstrates how to build robust backend systems starting from a simple web form. By utilizing the built-in n8n form trigger, organizations can capture crucial user data (Name, City, Email). The workflow immediately processes this data using a custom Code n8n node to correctly split the submission timestamp into separate Date and Time fields, ensuring data integrity across various platforms. The transformed data is then seamlessly synchronized to Google Sheets for spreadsheet reporting and simultaneously recorded in Airtable for structured database management. Finally, this n8n automation sends personalized follow-up emails via the Gmail n8n node, providing immediate communication back to the user. This is a perfect example of effective multi-channel data routing using an essential n8n workflow.

How it Works

  1. Initiation: The n8n workflow is started immediately by the n8n Form Trigger node whenever a user completes and submits the embedded data collection form.

  2. Timestamp Extraction: The received JSON payload, which includes the technical submittedAt field, is passed to the Code n8n node. This custom n8n node executes JavaScript logic to precisely extract and format the submission timestamp into discrete Date and Time fields, preparing the data for external systems.

  3. Data Standardization: The Set n8n node (Format the Fields) cleans and standardizes the field names (e.g., mapping the input 'What's your name ?' to 'Name') for consistent data output required by Google Sheets and Airtable.

  4. Parallel Storage: The standardized data flows in parallel to two storage destinations: the Google Sheets n8n node (appending a new row with Name, City, Email, Date, Time) and the Airtable n8n node (creating a new record in the specified base).

  5. Confirmation Path A (Google Sheets Branch): After successfully saving the data to Google Sheets, the workflow proceeds to the dedicated Gmail n8n node (Gmail1) to send a personalized confirmation email to the submitter, with the subject line dynamically including the submission date.

  6. Confirmation Path B (Airtable Branch): Following the Airtable operation, a separate Gmail n8n node (Gmail) ensures a secondary or redundant confirmation email is sent, completing the comprehensive data ingestion and notification process inherent in this powerful n8n workflow.

Installation Guide

  1. Import: Download the provided JSON file and import it directly into your n8n instance.

  2. Trigger Setup: Activate the 'n8n Form Trigger' node. If using n8n templates for the first time, you may need to update the form fields or path. The form is ready to use immediately.

  3. Credential Setup:

Configure the Google Sheets n8n node by providing OAuth2 credentials and selecting the target Spreadsheet ID and Sheet Name where the data should be appended.
Configure the Airtable n8n node by providing the Personal Access Token and selecting the target Base ID and Table ID.
* Configure the two Gmail n8n nodes using OAuth2 credentials to enable sending messages.

  1. Activation: Ensure the n8n workflow is active to begin listening for form submissions.

Node Details

This n8n workflow utilizes several key nodes:

n8n Form Trigger:
Function: Initiates the n8n workflow upon submission of the internal n8n web form.
Key Configuration: Defines required input fields: 'What's your name ?', 'Where do you live ?', and 'Your Email ?'. This is the starting n8n trigger.

Extracting Date and Time Fields from 'submittedAt' Field (Code n8n node):
Function: Custom JavaScript logic processes the submittedAt timestamp provided by the n8n trigger, extracting the date and time components and creating clean 'Date' and 'Time' fields.
Key Configuration: Custom code is used for data transformation, a vital part of this n8n automation.

Format the Fields (Set n8n node):
Function: Maps the original, verbose field names to simplified, consistent keys (Name, City, Date, Time, Email) suitable for database entry.
Key Configuration: Includes only selected fields, ensuring a clean output structure.

Google Sheets n8n node:
Function: Appends the cleaned record as a new row to the specified Google Sheet.
Key Configuration: Operation set to Append. Columns are mapped directly from the Set node's output.

Airtable n8n node:
Function: Creates a new record in the configured Airtable base and table.
Key Configuration: Operation set to Create. Data fields are mapped to matching Airtable column names.

Gmail / Gmail1 n8n nodes:
Function: Sends personalized confirmation emails to the submitted email address.
Key Configuration: Dynamic expressions are used for the Send To (using the submitted Email) and the message body (using the submitted Name). This Gmail n8n node demonstrates effective personalization.
