Freelancers or agencies who use Notion as a primary CRM/project hub.
Technical users looking for advanced examples of robust n8n workflow synchronization patterns.
Anyone interested in leveraging sophisticated n8n templates for operational efficiency.

Overview

Maintaining data parity between project planning tools (like Notion) and time tracking applications (like Clockify) is crucial but often manual. This specialized n8n workflow solves this problem by providing a robust, scheduled synchronization engine. It handles clients, projects, and individual tasks, ensuring that creation, updates, and archival statuses in one platform are reflected correctly in the other.

This particular n8n workflow utilizes complex comparison logic via the Compare Datasets n8n node, making it highly reliable for identifying discrepancies (new items, updated items, or deleted items). By implementing this solution, you minimize manual data entry, reduce errors, and ensure accurate time tracking against current project definitions defined in Notion. The workflow also includes a manual webhook n8n trigger for immediate synchronization on demand.

How it Works

This comprehensive n8n workflow executes in three main stages: Clients, Projects, and Tasks synchronization, initiated either by the daily scheduled n8n trigger or a manual Webhook call.

  1. Initialization: The workflow starts by fetching the default Clockify workspace ID (Get first workspace ID) and setting it as a global variable (Globals).

  2. Client Sync: The workflow simultaneously pulls all active clients from Notion and all active clients from Clockify. The data is mapped to standardize fields. The Compare Datasets n8n node identifies three scenarios: new clients in Notion (created in Clockify, ID stored back in Notion), updated clients (status changes pushed to Clockify), and clients deleted in Clockify (archived in Notion, or resulting in an error if deletion confirmation fails).

  3. Project Sync: This stage follows the client sync structure. It retrieves active projects from both Notion and Clockify. The logic maps associated client IDs to link projects correctly. Using Compare Datasets1, new projects are created via an HTTP Request n8n node (necessary for specific project fields), and existing projects are updated.

  4. Task Sync: Finally, the workflow iterates through tasks. It fetches active tasks from Clockify for the available projects and compares them against the Notion Task database. The Compare Datasets2 n8n node flags new or modified tasks. New tasks are created in Clockify and existing tasks are updated (including status changes, reflecting Notion's 'Done' or 'Obsolete' status as 'DONE' in Clockify). Robust error handling and cleanup are incorporated, including nodes to delete items from Clockify if Notion ID storage fails, ensuring data integrity.

Installation Guide

To deploy this powerful n8n templates for your synchronization needs, follow these steps:

  1. Import: Copy the provided JSON data and import it into your n8n instance using the 'New' -> 'Import from JSON' option.

  2. Credentials Setup: You must configure two primary credentials:

Notion API: Provide a valid API key for your Notion integration, ensuring it has access to the Clients, Projects (Buckets), and Tasks databases mentioned in the prerequisites.
Clockify API: Set up your Clockify credentials (API key) necessary for read, create, update, and delete operations within your workspace.

  1. Database Configuration (Critical): Check all yellow sticky notes in the n8n workflow. For every Notion n8n node, update the Database ID parameter to match your actual Notion database IDs for Clients, Projects, and Tasks.

  2. Activate: Once credentials and database IDs are set, activate the n8n workflow. The automated Schedule n8n trigger will run daily, or you can use the Webhook n8n trigger URL (if configured) for manual synchronization.

Node Details

Schedule Trigger / Webhook (n8n trigger): Initiates the flow. Runs daily at 4 AM automatically, or manually via a Notion button webhook call.
Clockify (Get first workspace ID): Fetches the ID required for all subsequent Clockify operations, stored via the Globals n8n node.
Notion (Get active Clients/Projects/Tasks): Retrieves the source data from Notion databases, applying complex filters (e.g., excluding archived items in the client sync).
Set (Map values): Used extensively across all sync stages to transform and normalize Notion and Clockify fields into a common structure (e.g., name, archived, clockifyclientid) before comparison.
Compare Datasets (n8n node): The core synchronization logic. Compares the list from Notion (Source 1) against the list from Clockify (Source 2) based on the unique Clockify ID (e.g., clockifyclientid) to determine whether an item is new, updated, or potentially deleted.
If (If unmapped in Notion): Checks if the Notion item is missing a Clockify ID. If true, the item is new and routed to the Create Client/Project/Task in Clockify n8n node.
Clockify (Create Client / Update Task): Standard n8n node operations for pushing data updates to Clockify.
HTTP Request (Update Project / Create Project): Used for Project operations, circumventing limitations in the standard Clockify n8n node by allowing manual API calls with complex JSON bodies.
Notion (Store Clockify ID in Notion): Crucial step where the newly created Clockify ID is written back to the respective page in Notion, linking the two records permanently.
Stop and Error: Used in combination with conditional error paths (e.g., if a Clockify record must be deleted but the Notion ID update fails) to halt execution and notify the user of an irreconcilable data conflict. This makes the n8n workflow highly resilient.
