Automation Specialists: Looking for advanced n8n templates that combine AI generation with document manipulation.
Revenue Operations (RevOps) Teams: Seeking to standardize and accelerate the post-sales process.
n8n Users: Who want to leverage the OpenAI n8n node for complex, structured content creation.

Overview

Manually creating customized sales proposals after every client call is a significant time sink for agencies. This process often delays follow-up, reducing conversion rates. This powerful n8n workflow solves this problem by providing immediate, high-quality proposal generation.

This specific n8n workflow acts as a streamlined pipeline: sales data is input via an n8n trigger form, sent directly to the OpenAI n8n node for sophisticated content generation (following strict formatting rules), and then used to populate a Google Slides template. The final PDF is shared instantly via Gmail. This end-to-end automation transforms slow manual processes into a zero-latency system, making it one of the most valuable n8n templates for sales organizations. The integration uses several key n8n node components to ensure accuracy and speed.

How it Works

The entire process is initiated by a custom n8n trigger: the On form submission n8n node.

  1. Form Trigger: A sales team member submits the 'Sales Call Logging Form' after a meeting, including crucial data like Company Name, Problem, Solution, Scope, and Cost.

  2. AI Generation (OpenAI n8n node): The structured input data is passed to the OpenAI n8n node (configured to use GPT-4o). The AI acts as a sophisticated writing assistant, tasked with generating a comprehensive JSON object that fills out over 20 specific proposal fields (headings, descriptions, milestones, etc.) based on the input context.

  3. Document Preparation (Google Drive n8n node): The workflow copies the master Google Slides presentation template, using the AI-generated proposalTitle to name the new document. The ID of this new presentation is captured for the next step.

  4. Content Population (Google Slides Replace Text n8n node): The next n8n node uses the presentation ID and iterates through dozens of text placeholders (e.g., {{solutionHeadingOne}}, {{cost}}). It dynamically injects the precise, customized content generated by the OpenAI n8n node into the presentation.

  5. Client Delivery (Gmail n8n node): Finally, the workflow uses the Gmail n8n node to automatically send a follow-up email to the client's address (pulled from the initial form submission). The email is personalized and includes the direct link to the newly generated, AI-populated Google Slides proposal. This completes the fully automated n8n workflow.

Installation Guide

To deploy this powerful n8n workflow, follow these steps:

  1. Import: Copy the provided JSON code and import it into your n8n instance.

  2. Form Trigger: The On form submission n8n trigger is ready to use. Once activated, you can access the public URL for the form.

  3. Credentials: You will need to set up credentials for the following services:

OpenAI: Requires API key credentials.
Google Drive/Slides: Requires service account or OAuth credentials to access and modify presentations.
* Gmail: Requires credentials to send emails from your designated account.

  1. Template Setup: In the Google Drive n8n node, replace the placeholder REPLACEWITHYOURGOOGLESLIDESTEMPLATEID with the actual ID of your master Google Slides proposal template. Ensure this template contains all the necessary text replacement tags (e.g., {{proposalTitle}}, {{cost}}).

  2. Activate: Set the n8n workflow to 'Active' to start listening for form submissions.

Node Details

On form submission (n8n trigger):
Function: Serves as the starting n8n trigger point, collecting critical sales data via a user-friendly web form.
Key Configuration: Defines required fields like 'Company Name', 'Problem', 'Solution', 'Cost', and 'Email'.
OpenAI (n8n node):
Function: Generates the highly structured proposal content based on the input form data, utilizing a detailed system prompt and few-shot example prompting.
Key Configuration: Uses the gpt-4o model and enforces strict JSON output formatting to ensure compatibility with the downstream Google Slides n8n node for text replacement.
Google Drive (n8n node):
Function: Manages the proposal template by copying the master Google Slides file.
Key Configuration: Operation set to copy. Uses an expression to name the new file dynamically based on the AI-generated proposal title.
Replace Text (Google Slides n8n node):
Function: Populates the copied Google Slides document with the customized text generated by the OpenAI n8n node.
Key Configuration: Executes over 20 unique text replacements, mapping variables from the OpenAI JSON output (e.g., {{milestoneOneDay}}) to the presentation placeholders.
Gmail (n8n node):
Function: Sends the final automated follow-up email containing the link to the completed proposal.
* Key Configuration: Uses expressions to personalize the recipient (sendTo) and email subject line, ensuring the message is highly context-specific.
