Who is this best for?

  • Sales Operations Managers requiring automated performance reporting.

  • Cold Emailing Agencies needing centralized analytics dashboards.

  • Digital Marketing Teams looking for continuous tracking of email engagement metrics.

  • Users searching for efficient n8n templates for data synchronization and analysis.

Overview

This advanced n8n workflow solves the complexity of manual data aggregation for high-volume cold outreach campaigns managed through Smartlead. It establishes a robust, real-time analytics dashboard in Google Sheets by frequently polling four separate Smartlead API endpoints. This complex n8n workflow ensures sales and marketing teams have up-to-the-minute data on critical KPIs, including domain health, individual mailbox performance, and overall campaign metrics (opens, replies, bounces, positive replies). By deploying this comprehensive n8n template, users establish a crucial foundation for detailed performance monitoring and data visualization, significantly reducing manual data handling and ensuring data freshness. The efficiency of this n8n node configuration ensures timely updates across all required data sets.

How it Works

The system utilizes two periodic n8n trigger nodes to manage data synchronization across four parallel branches at different frequencies, ensuring optimal resource use and data timeliness.

  1. Mailbox Health Synchronization (Every 5 Hours):

The first n8n trigger (Schedule Trigger1) initiates data collection for mailbox and domain health.
Two parallel HTTP Request n8n node instances fetch domain-wise and name-wise email health metrics from the Smartlead API, using dynamic end dates calculated from the trigger’s run time.
Dedicated Split Out n8n node instances process the resulting metric arrays, passing individual domain and mailbox records downstream.
Two Google Sheets n8n node instances (Append or update row in sheet5 and Append or update row in sheet6) append or update the data into designated sheets ('DomainHealth' and 'EmailHealth'), matching based on the domain or from_email to maintain historical accuracy.

  1. Global & Campaign Performance Synchronization (Every 2 Hours):

The second, more frequent n8n trigger (Schedule Trigger) focuses on overall daily and campaign performance stats.
Two parallel HTTP Request n8n node instances pull overall day-wise engagement metrics and campaign-wise performance data.
Corresponding Split Out n8n node instances segment the large API responses.
The final Google Sheets n8n node instances record or update the data into the 'Sheet1' (Day-wise stats) and 'CampaignWise' sheets, using the date or campaign ID for accurate row matching. This multi-threaded n8n workflow structure ensures rapid reporting for active campaigns.

Installation Guide

  1. Import the n8n workflow: Copy the provided JSON code and import it into your n8n instance using the 'New' button and 'Import from JSON' option.

  2. Configure Credentials:

Smartlead API: Edit the parameters in all four HTTP Request n8n node instances (HTTP Request5, HTTP Request6, HTTP Request, HTTP Request1). Replace the placeholder value yourAPIKEY with your actual Smartlead API key in the query parameters.
Google Sheets: You will need to set up a new Google Sheets credential for n8n. Edit each of the four Google Sheets n8n node instances and select your credentials. Ensure the target document ID and sheet names ('DomainHealth', 'EmailHealth', 'Sheet1', 'CampaignWise') correspond to your spreadsheet structure.

  1. Adjust Date Parameters: Review the hardcoded start dates (e.g., 2025-07-04) and dynamic end dates (e.g., =2025-08-{{ $json['Day of month'] }}) in the HTTP Request n8n node parameters and adjust them to your desired reporting period.

  2. Activate: Save the n8n workflow and set the workflow to 'Active' to start the automated syncing process according to the defined n8n trigger intervals.

Node Details

This n8n workflow leverages several core n8n node types for scheduling, API integration, data manipulation, and storage:

Schedule Trigger (n8n trigger): Two instances are used. One runs every 5 hours for mailbox health, and the other runs every 2 hours for campaign and global stats, defining the cadence of the entire n8n workflow.
HTTP Request (n8n node): Four instances connect to the Smartlead API. Each is configured to fetch a distinct analytics data set (Domain Health, Email Health, Day-wise Overall Stats, Campaign Overall Stats). Key configuration involves passing the required apikey and dynamic date range parameters.
Split Out (n8n node): Four instances are essential for taking the array structure returned by the Smartlead API and turning it into individual items. This allows the subsequent Google Sheets n8n node to process and update one row per domain, email, or campaign efficiently.
Google Sheets (n8n node): Four instances perform the critical data persistence layer. The operation is set to Append or update row in sheet. This intelligent update feature requires specifying a matching column (e.g., domain, from
email, date, or id) to prevent creating duplicate entries upon each n8n trigger execution. Data fields are mapped using expressions, such as ={{ $json.sent }}.
