Who is this best for?

  • Automation Engineers: Seeking a standardized, single point of failure for system alerts across multiple n8n workflows.

  • DevOps Professionals: Needing reliable, high-priority notifications when monitoring tasks fail.

  • Users of n8n templates: Who want to quickly add reliable email alerting capabilities to their existing setups without reconfiguring the Gmail n8n node every time.

Overview

This n8n workflow solves the problem of decentralized and inconsistent system alerting. By abstracting the sending process into a dedicated sub-workflow, you ensure all alerts adhere to a strict standard, making them easy to filter, prioritize, and manage in an email client like Gmail.

Crucially, this n8n template automatically prefixes the email subject with ❗ n8n Alert:, which is essential for setting up reliable email filters. When using this n8n node structure, engineers can reliably star these messages in Gmail to ensure they appear in a Priority Inbox, bypassing Gmail's tendency to de-prioritize automated messages. This specific approach increases the reliability and visibility of critical information generated by your main n8n workflows.

How it Works

This automation is designed to function as a reusable service executed by other, larger n8n workflows. The flow starts with a special type of n8n trigger:

  1. Execution Trigger: The When Executed by Another Workflow n8n trigger waits for incoming data from a parent n8n node (an 'Execute Workflow' node in another automation). It specifically expects two key parameters: subject (the core subject line of the alert) and lines (an array of strings forming the message body).

  2. Message Formatting: The n8n workflow takes the array of lines and uses an expression to join them together with newline characters (\n), formatting the content into a readable, multi-line email body.

  3. Standardized Subject: The subject line is dynamically constructed using an expression: =❗ n8n Alert: {{ $json.subject }}. This ensures every email sent by this n8n workflow is immediately identifiable.

  4. Gmail Action: The Gmail n8n node then sends the standardized, text-only email to the predefined recipient (you will need to configure this placeholder email). This robust n8n node completes the alerting process.

Installation Guide

  1. Import the n8n Workflow: Copy the provided JSON data and import it directly into your n8n instance via the 'New' menu > 'Import from JSON'.

  2. Set Credentials: Locate the Gmail n8n node (Send a message). Click on the credentials field and link your existing Gmail OAuth2 credential, or create a new one, granting n8n permission to send emails from your account.

  3. Configure Recipient: In the Gmail n8n node parameters, change the placeholder [email protected] to your desired alert recipient address.

  4. Activation: This n8n workflow must remain active for other n8n templates to call it using the 'Execute Workflow' n8n node. Note the Workflow ID or Name, as you will need it when setting up the calling workflow.

Node Details

When Executed by Another Workflow (n8n trigger):
Function: Serves as the listener for cross-workflow communication, allowing external n8n templates to trigger this alert service.
Key Configuration: Defines input schema requiring subject (string) and lines (array).
Send a message (Gmail n8n node):
Function: Executes the final action of sending the alert email using configured Gmail credentials.
Key Configuration:
sendTo: Requires the target recipient email.
subject: Uses the expression =❗ n8n Alert: {{ $json.subject }} to standardize alerting.
* message: Uses the expression ={{ $json.lines.join("\n") }} to convert the input array into a readable body.
