Who is this best for?

Customer Support Teams: Who need immediate notification of incoming live chats to maintain low response times.
Small Business Owners: Managing multiple communication channels and requiring centralized alerts.
n8n Users: Looking for practical n8n templates integrating customer communication tools.
Automation Enthusiasts: Seeking an example of a Webhook-based n8n workflow for real-time alerts.

Overview

Missing a live chat notification can lead to lost sales or decreased customer satisfaction. This dedicated n8n workflow solves this critical operational challenge by establishing a reliable real-time bridge between Tawk.to and your team's support inbox. By leveraging the power of an n8n trigger, this automation captures every incoming chat event, extracts vital information (visitor name, country, and message content), and immediately compiles it into a structured Gmail alert. Implementing this specific n8n workflow ensures that your support staff are notified instantly, allowing for prompt replies and maximizing operational efficiency. It’s an essential addition to your collection of useful n8n templates, offering robust monitoring and communication without requiring constant monitoring of the Tawk.to dashboard itself. Every step, managed by a dedicated n8n node, is designed for speed and reliability.

How it Works

This automation functions on a simple, yet powerful, three-step process initiated by a real-time event:

  1. Tawk.to Webhook Initiation (The n8n Trigger): The n8n workflow begins with the 'Receive Tawk.to Request' webhook n8n node. This node is configured as a POST endpoint, acting as the primary n8n trigger. When a user sends a new message in the Tawk.to widget, Tawk.to sends the chat payload data directly to this unique n8n URL.

  1. Data Extraction and Formatting: The data payload is complex, so the next n8n node, 'Format the message' (a Set n8n node), processes the incoming JSON. It carefully pulls out crucial fields like the chatId, visitorname, visitorcountry, and the actual message.text, preparing these variables for the email generation step. This ensures clean, targeted data is passed down the n8n workflow.

  1. Sending the Gmail Alert: The final step uses the Gmail n8n node ('Send alert email'). It dynamically constructs the email subject line (including the visitor's name and country) and formats the email body using the variables prepared in the previous step. This specialized n8n node delivers an immediate, detailed notification to the designated support email address, completing the real-time alerting n8n workflow cycle.

Installation Guide

To deploy this n8n workflow, follow these steps:

  1. Import the n8n workflow JSON: Copy the provided JSON and import it directly into your n8n instance using the 'New' > 'Import from JSON' option.

  2. Configure Credentials: You will need to set up two main credentials:

Gmail Credentials: Authenticate the Gmail n8n node to allow n8n to send emails from your chosen account.
(Optional/Implied): Ensure your n8n instance is accessible externally for the webhook to function.

  1. Activate the Webhook n8n Trigger: After importing, navigate to the 'Receive Tawk.to Request' n8n node. Copy the generated Webhook URL.

  2. Set up Tawk.to: In your Tawk.to dashboard settings, configure a Webhook/Integration to send chat notification data (usually upon chat start or new message) to the copied n8n Webhook URL.

  3. Final Configuration: In the 'Send alert email' n8n node, specify the target recipient email address in the Send To field.

  4. Activate the n8n Workflow: Toggle the workflow to 'Active' to start listening for incoming Tawk.to requests.

Node Details

Receive Tawk.to Request (Webhook n8n Trigger)
Function: Serves as the primary starting point (n8n trigger) for the automation. It listens for a specific HTTP POST request from Tawk.to containing the new chat details.
Key Configuration: Configured to handle POST requests on a unique path.

Format the message (Set n8n Node)
Function: Extracts and standardizes specific pieces of data from the initial Tawk.to payload, mapping complex JSON paths ($json.body.visitor.name) to simple, usable variables (visitorname). This is crucial for building a readable email.
Key Configuration: Defines assignments for chat
id, visitorcountry, visitorname, and message.

Send alert email (Gmail n8n Node)
Function: The final action n8n node, responsible for sending the formatted notification email via Gmail credentials.
* Key Configuration: Uses expressions for the Subject line (Support Alert: New Chat from {{ $json.visitor_name }}) and the body, incorporating all data extracted earlier by the Set n8n node.
