Overview

Maintaining regular contact is vital for client retention. This sophisticated n8n workflow template ensures that no client interaction deadline is missed. It runs automatically every week, intelligently fetching contact data from your GoHighLevel CRM and applying filtering logic to pinpoint clients who have had no activity in 14 or more days. The value of this n8n automation lies in its ability to execute personalized outreach (via Gmail) while simultaneously maintaining an audit trail (Google Sheets) and providing transparent operational reporting (Slack). Setting up this n8n workflow drastically reduces manual review time and enhances customer experience. It is a highly efficient, multi-step n8n node configuration designed for reliability.

How it Works

This powerful n8n workflow begins with the fundamental Trigger: Weekly Scheduler n8n trigger, configured to run every Monday at 9:00 AM.

  1. Data Fetch: The process starts with the Fetch HighLevel Contacts n8n node, which securely retrieves all contact records from the GoHighLevel CRM.

  2. Logic & Filtering: The subsequent Filter Inactive Contacts (14+ days) n8n node (a Custom Code node) calculates the duration since the last contact activity. It filters the results, passing only those contacts inactive for more than 14 days, tagging them with needsAttention: true.

  3. Individual Processing: The Split Clients Array n8n node then breaks the resulting list into individual items, allowing subsequent n8n nodes to process each client separately.

  4. Conditional Action: The IF: Needs Attention n8n node acts as a safety gate, ensuring only flagged contacts proceed to the re-engagement phase.

  5. Re-engagement & Logging: The workflow simultaneously uses the Send Re-engagement Email Gmail n8n node to deliver a personalized HTML follow-up email, and the Log Inactive Client in Google Sheets n8n node to instantly record the client details and action taken in a central spreadsheet.

  6. Team Notification: After all individual clients have been processed, the Format Slack Message n8n node aggregates the results into a clear summary list. This summary is then sent via the Send Slack Notification to Account Manager n8n node, ensuring the team is instantly aware of who received follow-ups.

  7. Error Handling: A critical component of this n8n workflow is the Error Trigger n8n node. If any preceding n8n node fails, the workflow immediately triggers the Send Error Alert to Slack n8n node, notifying designated technical channels about the failed node and error message, ensuring maximum workflow stability.

Installation Guide

To deploy this comprehensive n8n workflow template successfully, follow these steps:

  1. Import Workflow: Copy the provided n8n workflow JSON and import it into your n8n instance via the 'Workflows' > 'New' > 'Import from JSON' option.

  2. HighLevel Credentials: Configure the Fetch HighLevel Contacts n8n node with your HighLevel OAuth2 API credentials.

  3. Gmail Setup: Update the Send Re-engagement Email n8n node with your Gmail OAuth2 credentials. Ensure you dynamically map the recipient email using {{ $json.email }}.

  4. Google Sheets Setup: Create a new Google Sheet (or use an existing one) with columns matching the data fields (e.g., id, contactName, email, lastContactDate). Connect your Google Sheets OAuth2 credential and update the Document ID and Sheet Name in the Log Inactive Client in Google Sheets n8n node.

  5. Slack Setup: Set up your Slack API credentials. In both the notification node and the error alert node, select the appropriate Channel ID where reports and error messages should be posted. This ensures the full n8n automation is monitored.

  6. Activate and Test: Run the n8n workflow manually using the 'Test Workflow' button to verify all credentials and data flows before setting the n8n trigger to active.

Node Details

This n8n workflow utilizes several key specialized n8n node configurations:

Trigger: Weekly Scheduler (n8n trigger): Sets the automation to run on a predictable schedule (every Monday at 9 AM) to initiate the client pulse check.
Fetch HighLevel Contacts (HighLevel n8n node): Primary CRM interaction. Configured to perform the 'Get All' operation, ensuring a full list of contacts is retrieved for filtering.
Filter Inactive Contacts (14+ days) (Code n8n node): Crucial custom logic. It uses JavaScript to compare the contact's dateUpdated timestamp against the current date minus 14 days, identifying contacts requiring attention.
Send Re-engagement Email (Gmail n8n node): Sends a personalized, professional HTML email template to the recipient defined by the dynamic {{ $json.email }} variable.
Log Inactive Client in Google Sheets (Google Sheets n8n node): Performs the 'Append' operation to insert the entire record into the tracking spreadsheet, using the contact id as a primary identifier.
Format Slack Message (Code n8n node): A post-processing n8n node that aggregates the successful individual items back into a single structured summary, ready for Slack delivery.
Send Slack Notification to Account Manager (Slack n8n node): Delivers the final, formatted report containing the list of re-engaged clients to the designated team channel.
Error Trigger (n8n trigger): Catches errors from any preceding n8n node in the main path, ensuring graceful failure handling.

  • Send Error Alert to Slack (Slack n8n node): Provides immediate notification detailing the node.name and error.message if the n8n workflow encounters a critical failure.
