WooCommerce Category Alerts via WhatsApp & Google Sheets Logging - n8n Workflow

Use this robust n8n workflow to instantly notify customers about new WooCommerce product categories. The n8n template verifies WhatsApp numbers using Rapiwa, handles rate limiting, and logs all customer communication status (verified/unverified) directly into Google Sheets using the Google Sheets n8n node.

-
E-commerce managers using WooCommerce who need real-time, personalized customer alerts.
Marketing teams seeking to leverage direct communication channels like WhatsApp.
Users looking for advanced n8n templates that combine webhook triggers, external APIs (Rapiwa), and data logging (Google Sheets).
Automation specialists who need a custom n8n node setup for complex data cleaning and branching logic.

Overview

Keeping customers informed about new product lines is crucial for e-commerce growth. This sophisticated n8n workflow automates that process entirely. When a store administrator creates a new category in WooCommerce, the entire process is set off by the initial n8n trigger. The n8n workflow immediately fetches all customer data, cleans their phone numbers, and uses the Rapiwa API to verify if the number is active on WhatsApp. This careful verification process ensures that marketing messages are only sent to valid, verified accounts, minimizing wasted API calls and maintaining communication quality. Finally, regardless of the verification outcome, the n8n node writes the full transaction details—including the new category details and the user's status—to a Google Sheet for easy auditing and future sales analysis. This entire n8n automation provides a powerful, auditable, and rate-limit-conscious marketing channel.

How it Works

This powerful n8n workflow initiates when a new product category is created in WooCommerce:

  1. WooCommerce Event Trigger: The n8n trigger is activated by an external Webhook when a new category is successfully created on your WooCommerce store.

  2. Data Extraction: A custom Code n8n node extracts critical category details (name, slug, description) from the webhook payload.

  3. Customer Fetching: The WooCommerce n8n node retrieves a comprehensive list of all store customers.

  4. Looping and Limiting: The list is limited (default 10 items) and then passed to the Split In Batches n8n node, ensuring each customer is processed individually within the n8n workflow.

  5. Data Cleaning: The Clean Number Code n8n node formats customer data, specifically cleaning phone numbers by removing non-numeric characters, and extracting names, emails, and full addresses.

  6. WhatsApp Verification: An HTTP Request n8n node sends the cleaned number to the Rapiwa verify-whatsapp endpoint to check for WhatsApp validity.

  7. Conditional Branching: The If n8n node checks the Rapiwa response. If the number is verified (data.exists === true):

A promotional message detailing the new category is sent via the Rapiwa Send Message HTTP Request n8n node.
The user is logged as verified in the Google Sheets n8n node.

  1. Logging Unverified: If the number is not verified, it is logged as unverified in a separate Google Sheets n8n node branch.

  2. Rate Limit Control: A Wait n8n node introduces a brief pause before the loop continues, preventing rate-limiting issues with the external APIs or Google Sheets. This n8n workflow repeats until all customers are processed.

Installation Guide

To deploy this useful n8n workflow template, follow these steps:

  1. Import the n8n workflow: Copy the provided JSON data and paste it into your n8n instance using the 'New' -> 'Import from JSON' function.

  2. Set up Credentials:

WooCommerce API: Provide your consumer key and secret for your store.
Google Sheets OAuth2: Authenticate your Google account and ensure it has write access to the target spreadsheet. Configure the Sheet ID and Sheet Name in both Google Sheets n8n node instances.
* Rapiwa Bearer Auth: Configure the HTTP Bearer Auth credentials using your Rapiwa API token.

  1. Configure the Webhook n8n trigger: Save the workflow and click 'Webhook' to get the unique test or production URL. Configure this URL in your WooCommerce store's webhook settings to trigger on 'Product Category Created' events.

  2. Customization: Review the Format Webhook Response Data and Clean Number Code n8n node details, and crucially, customize the message template within the Send Message Using Rapiwa n8n node.

Node Details

Webhook (n8n trigger):
Function: Starts the n8n workflow upon receiving a POST request, specifically designed to capture the WooCommerce 'product category created' event.
Key Configuration: Configured for a specific path and HTTP POST method.
Format Webhook Response Data (Code n8n node):
Function: Parses the initial large WooCommerce payload to isolate key category data (name, slug, description) into a clean JSON object for subsequent nodes.
Get many customers (WooCommerce n8n node):
Function: Fetches the complete list of customers from the connected WooCommerce store.
Loop Over Items (Split In Batches n8n node):
Function: Ensures that the downstream sequence of verification and messaging is executed sequentially for every customer retrieved, handling the high volume of data efficiently within the n8n workflow.
Clean Number (Code n8n node):
Function: Crucial step where customer phone numbers are sanitized (non-digits removed) and customer details (name, address, email) are standardized before being sent to Rapiwa.
Check valid whatsapp number Using Rapiwa (HTTP Request n8n node):
Function: Verifies phone number validity via the Rapiwa API's verify-whatsapp endpoint, checking if the number is associated with an active WhatsApp account. Uses Bearer Token authentication.
If (n8n node):
Function: Controls the flow based on the Rapiwa verification result (data.exists === true), directing the workflow to either the messaging path or the logging-only path.
Send Message Using Rapiwa (HTTP Request n8n node):
Function: Executes the core action of the n8n template: sending the personalized, category-specific WhatsApp alert to verified numbers using the Rapiwa send-message API.
verified append row in sheet / unverified append row in sheet (Google Sheets n8n node):
Function: Logs the transaction outcome, including the customer and category data, to the designated Google Sheet, marking the status as either 'verified' or 'unverified'.
Wait (n8n node):
* Function: Inserts a mandatory pause, crucial for preventing API rate limits from interrupting this highly automated n8n workflow.
