What is File Inbox?

File Inbox is a specialized system designed for Openclaw Skills environments to handle the lifecycle of every file exchanged between an agent and a user. It solves the common problem of fragmented file storage by centralizing all PDF, CSV, image, and code files into a structured inbox/ directory. By maintaining a human-readable INDEX.md and a machine-parseable metadata layer, it ensures that no shared asset is ever lost.

This skill is essential for developers and users who need a reliable audit trail of workspace interactions. Whether an agent is generating a complex data analysis report or a user is providing a new dataset for processing, File Inbox tracks the sender, destination, timestamps, and contextual notes, making Openclaw Skills a more robust and professional development environment.

File Inbox Use Cases

  • Archiving and tagging datasets or PDFs sent by users for future research.
  • Tracking agent-generated reports and charts sent to specific communication channels.
  • Searching for historical files using natural language queries or specific metadata filters.
  • Maintaining a clean workspace by automatically moving files into date-partitioned directories.
  • Generating statistics on file exchange patterns and storage usage within a project.

How File Inbox Works

  1. The workspace is initialized with a standardized directory structure and metadata tracking files.
  2. When a file enters the system (inbound) or is created (outbound), a registration script is triggered.
  3. The script moves or copies the file into a date-based subfolder (e.g., inbox/inbound/YYYY-MM/) to prevent clutter.
  4. Metadata including file type, tags, and sender information is extracted and saved to a central index.
  5. The human-readable INDEX.md is updated with the latest entry, assigning a unique ID (like F-007) for easy reference.
  6. Users or agents can then query this index via CLI or direct file reading to retrieve specific assets.

File Inbox Setup

To get started with File Inbox in your Openclaw Skills workspace, run the initialization script to set up the necessary folders and index files:

bash skills/file-inbox/scripts/init_inbox.sh

This creates the inbox/ directory, the INDEX.md table, and the hidden .meta.json file used for programmatic tracking.

File Inbox Data Schema & Taxonomy

The skill organizes data using a combination of a physical folder hierarchy and a markdown-based index table.

Directory Structure

  • inbox/inbound/: Contains files received from the user, organized by year and month.
  • inbox/outbound/: Contains files generated by the agent and sent to the user.
  • inbox/INDEX.md: A searchable Markdown table of all registered files.

INDEX.md Fields

Column Description
ID Unique file identifier (e.g., F-001)
Direction Visual indicator of inbound (⬇️) or outbound (⬆️)
Filename The original name of the file
Type File extension (pdf, csv, png, etc.)
Tags Searchable hashtags for categorization
Date ISO timestamp of registration

File Inbox Advanced Features

  • Multi-language support allowing for natural language tagging in both English and Korean.
  • Auto-tagging capabilities based on file extensions and predefined tagging guides.
  • Advanced search filters including date ranges, directionality, and free-text queries.
  • Automatic archiving logic that moves old entries to secondary notes to keep the primary INDEX.md performant.
  • Integrity tools for orphan file detection and index rebuilding to ensure data consistency in Openclaw Skills.
