What is Meeting Prep?

Meeting Prep is a developer-centric automation tool designed to bridge the gap between calendar management and version control. By leveraging Openclaw Skills, this tool monitors upcoming meetings, identifies those with video links, and prepares detailed status updates based on your recent activity. It eliminates the manual effort of tracking what you worked on before a standup or sync meeting, ensuring you always have accurate, commit-based information ready to share.

This skill is particularly valuable for distributed teams where clear, verbose, and developer-friendly updates are essential for maintaining sync. It provides a structured way to turn code commits into actionable business intelligence and provides a consistent end-of-day reporting mechanism for managers and individual contributors alike.

Meeting Prep Use Cases

  • Automatically generating standup updates based on the last 24 hours of GitHub activity.
  • Preparing for specific video meetings by pulling commit context 15 minutes before the start time.
  • Creating end-of-day summaries of all team contributions across multiple organization repositories.
  • Reducing context switching by having meeting context delivered directly to your workflow.

How Meeting Prep Works

  1. The skill runs on a recurring schedule to query the Google Calendar API for events occurring in the next 45 minutes.
  2. It filters for meetings containing Google Meet or other video conference links via the conferenceData property.
  3. It cross-references the meeting time with a local state file to determine if a notification or update has already been generated.
  4. Using the GitHub API, it fetches recent commits from specified repositories and groups them by repository and subdirectory.
  5. It formats the output into a clean, plain-text summary including author names and verbose descriptions, optimized for easy sharing.

Meeting Prep Setup

Google Calendar OAuth

  1. Enable the Google Calendar API in Google Cloud Console.
  2. Create OAuth 2.0 Desktop credentials and save them as credentials/client_secret.json.
  3. Authorize the skill with the calendar scope and store the resulting tokens in credentials/calendar_tokens.json.

GitHub Integration

  1. Create a classic Personal Access Token with the repo scope on GitHub.
  2. Store this token in credentials/github_token.

Dependencies

Ensure jq is installed to handle JSON parsing within the Openclaw Skills environment:

# Example for Ubuntu/Debian
sudo apt-get install jq

Meeting Prep Data Schema & Taxonomy

The skill maintains state and configuration in a structured JSON format to ensure consistency across different runs.

Data Element Location Description
State File data/meeting-prep-state.json Tracks which meetings have been notified to prevent duplicate alerts.
Repo Filter config.repoFilter Defines which GitHub repositories or organizations to include in summaries.
OAuth Tokens credentials/calendar_tokens.json Stores sensitive access and refresh tokens for Google services.

Example State Object:

{
  "notified": {
    "event_id_123": "2023-10-27T10:00:00Z"
  },
  "config": {
    "repoFilter": "your-org/*"
  }
}

Meeting Prep Advanced Features

  • Proactive user prompting: Requests specific repo context 30-45 minutes before a meeting for targeted updates.
  • Multi-account management: Support for multiple Google Calendar accounts via scoped token files.
  • High-granularity grouping: Organizes commit summaries by repository and subdirectory for complex monorepo environments.
  • Automated token refreshing: Handles OAuth 2.0 refresh cycles to ensure uninterrupted service without manual intervention.
  • Team-wide tracking: Capable of summarizing end-of-day commits for all developers across an entire GitHub organization.
