What is PropClaw?

PropClaw is a professional-grade property management skill designed for landlords managing 20 to 500 units. Built as an extension of the ERPClaw foundation, it provides a robust suite of 66 actions covering the entire real estate lifecycle. This skill enables a technical, local-first workflow for managing everything from tenant applications to complex trust accounting. By integrating PropClaw into your collection of Openclaw Skills, you gain access to a system that prioritizes data sovereignty and security, operating entirely offline without external API dependencies.

The tool handles the nuances of US property management, including FCRA-compliant screening tracking and state-specific late fee rules. It treats tenants as customers and vendors as suppliers, funneling all financial activity into a real double-entry General Ledger. This ensures that every rent invoice, security deposit, and maintenance billable is recorded with an immutable audit trail, providing landlords with the same financial rigor found in enterprise-level ERP systems.

PropClaw Use Cases

  • Onboarding new tenants through structured application and screening workflows.
  • Automating monthly rent charges and applying state-specific late fee logic.
  • Coordinating maintenance requests by assigning vendors and tracking work order costs.
  • Generating owner statements and 1099 tax reports for financial compliance.
  • Managing security deposits and trust accounts with precise ledger entries.

How PropClaw Works

  1. The landlord initializes the local SQLite database to establish the property and unit hierarchy.
  2. Applications are recorded, allowing for screening metadata to be tracked locally for audit trails.
  3. Upon approval, leases are activated, which triggers the automatic generation of rent schedules and ledger entries.
  4. Maintenance requests are handled through a lifecycle of work orders, vendor assignments, and completion tracking.
  5. Financial close-outs are executed using trust accounting actions for security deposits and owner payouts, all synchronized with the ERPClaw backend.

PropClaw Setup

PropClaw requires ERPClaw to be installed as a base requirement. To initialize the property management database for the first use, execute the following commands:

python3 scripts/db_query.py --action initialize-database
python3 scripts/db_query.py --action status

PropClaw Data Schema & Taxonomy

PropClaw organizes data across 23 tables within the local Openclaw environment. Data is stored using standard conventions: Money as Python Decimals, IDs as UUIDs, and Dates in ISO 8601 format.

Domain Key Data Entities
Properties Properties, units, amenities, and photo metadata.
Leases Lease terms, rent schedules, and late fee rules.
Tenants Applications, screening records, and documents.
Maintenance Work orders, vendor assignments, and inspections.
Accounting Trust accounts, owner statements, and security deposits.

PropClaw Advanced Features

  • State-specific late fee automation including grace days and percentage-based caps.
  • Immutable audit trails where cancellations create reversals rather than deletions.
  • Automated security deposit deadline calculations based on state-mandated timelines.
  • Integrated 1099 reporting for automated vendor tax preparation.
  • FCRA-compliant screening tracking to maintain local audit trails for adverse action notices.
