Overview

This comprehensive n8n workflow provides a powerful solution for automating web hosting customer support. Instead of relying on static, generic AI answers, this n8n template integrates Google Gemini with multiple structured data sources (Google Sheets) acting as a dynamic Retrieval-Augmented Generation (RAG) knowledge base. Furthermore, it integrates directly with external systems like WHMCS to perform real-time actions, such as checking domain availability.

The core value of this n8n workflow lies in its ability to offer human-like, contextual, and accurate support, reducing support ticket volume while ensuring all interactions are logged (via the Chat Inquiries n8n node). This highly specialized n8n template handles complex scenarios, including capturing user identity first, checking domain availability before offering prices, and proactively cross-selling based on explicit instructions within the sophisticated system prompt.

How it Works

The entire process is initiated by a client-side chat application sending a message via the Webhook n8n trigger. This n8n workflow follows a complex, tool-oriented logic:

  1. Incoming Request: The Webhook n8n trigger receives the user message, along with a sessionId for context tracking.

  2. Context Maintenance: The Simple Memory n8n node ensures the AI Agent remembers previous messages within the current session, crucial for contextual replies.

  3. AI Orchestration: The AI Agent n8n node, powered by the Google Gemini Chat Model, receives the input. Its highly customized system prompt instructs the agent (named Matt) on persona, specific rules (e.g., must capture Name/Email before the first true reply), and tool usage priorities.

  4. Knowledge Retrieval (RAG): The agent decides which of the seven connected Google Sheets n8n node tools (e.g., SharedHostingPlans, DomainPrices, FAQs) to query for required facts.

  5. External Action: If the user asks about purchasing a domain, the agent is instructed to first execute the DomainAvailabilityChecker n8n node (an HTTP Request to WHMCS API) before providing pricing information from the Sheets.

  6. Logging: Throughout the interaction, the ChatInquiries Google Sheets n8n node is used to update the chat log, appending new user and agent messages to the row corresponding to the unique session ID.

  7. Response: The final calculated AI response is immediately returned to the customer via the Respond to Webhook n8n node.

Installation Guide

To deploy this expert n8n workflow, follow these setup steps:

  1. Import: Copy the provided JSON data and paste it into your n8n instance to import the complete n8n template.

  2. Webhook Setup: Note the URL generated by the Webhook n8n trigger. This URL must be configured in your front-end chat application to send incoming messages (containing sessionId and message) to n8n.

  3. Google Credentials: Configure the Google Sheets OAuth2 API credentials (ID: m7KJWht6snJWUiJc) and ensure they are connected to all Google Sheets n8n node tools. These tools require read/write access to the knowledge base document (knowledgebase) and the chat log document (Chat Inquiries).

  4. Google Gemini Credentials: Configure the Google Gemini (PaLM) API credentials and attach them to the Google Gemini Chat Model n8n node.

  5. WHMCS Integration: Update the DomainAvailabilityChecker n8n node. Replace the placeholder values (https://yourwhmcsurl.com/includes/api.php, YourWHMCSIdentifier, and YourWHMCS_Secret) with your actual WHMCS API details. This is essential for the domain lookup functionality embedded in this powerful n8n workflow.

  6. Activate: Set the n8n workflow to 'Active' to start listening for incoming customer queries.

Node Details

This advanced n8n workflow relies on a complex arrangement of specialized n8n nodes:

Webhook (n8n trigger): The starting point of the n8n workflow. It is configured to accept POST requests, making it suitable for immediate, interactive chat sessions.
AI Agent (n8n node): The central decision-maker. It uses a highly detailed system message to define its persona and rules, orchestrating the use of various tools and memory.
Google Gemini Chat Model: Provides the necessary large language model intelligence for processing natural language and generating responses.
Simple Memory (n8n node): Key for maintaining conversation continuity by tracking chat history within the current session using the unique Session ID received by the n8n trigger.
Google Sheets Tool (Multiple Instances): Seven instances (SharedHostingPlans, DomainPrices, FAQs, etc.) serve as the RAG knowledge base. The AI Agent queries these sheets for real-time, accurate product and pricing data.
Domain
AvailabilityChecker (HTTP Request Tool): This n8n node connects to the WHMCS API to perform domain WHOIS checks, essential for providing proactive sales assistance. The AI Agent dynamically fills the domain name parameter before execution.
ChatInquiries (Google Sheets Tool): This n8n node handles data persistence, using the appendOrUpdate operation matched by Session Id to ensure the entire chat transcript is correctly stored and updated in the same row.
Respond to Webhook1 (n8n node): Final action, sending the AI Agent’s generated response back to the client immediately, completing the loop of this sophisticated n8n workflow.
