Triggered instantly when a Fathom meeting concludes, the system leverages an OpenAI-powered AI agent to deeply analyze the transcript, categorizing key takeaways, topics, and critical action items into a structured format. This data is then used to automatically create a comprehensive document in a specified Dart Folder and simultaneously generate a review task in Dart, complete with links to the new document and the original Fathom recording. This robust n8n automation ensures immediate, standardized documentation and follow-up tracking without human intervention, making it one of the most powerful n8n templates for productivity. How it Works

This robust n8n workflow operates through seven main steps:


  1. Trigger Reception: The process starts with the Webhook n8n trigger, which receives a POST payload from Fathom immediately after a recorded meeting ends, containing the transcript and meeting metadata.

  2. AI Summarization: The input data is passed to the AI Agent n8n node, which uses the linked OpenAI model (GPT-4.1-mini) and a detailed system prompt to analyze the raw meeting summary and structure it into distinct sections (Key Takeaways, Action Items, Topics).

  3. Data Structuring: The Code in JavaScript n8n node prepares the AI's structured output into variables ready for insertion into the Dart document, ensuring clean Markdown formatting.

  4. Target Folder Retrieval: The n8n workflow queries the Dart API to retrieve the specified target Folder ID where the new document will be stored using the Dart n8n node.

  5. Document Creation: A Create a new doc n8n node creates a structured document in Dart, populating the title, summary sections, and extracted items using data from the Webhook and Code nodes.

  6. Task Prerequisites: The system retrieves the target Dartboard ID and then retrieves the newly created Dart Document URL using another Dart n8n node.

Installation Guide

To use this powerful n8n workflow, follow these setup steps:


  1. Import the n8n template: Copy the provided JSON and import it into your n8n instance using the "New > Import from JSON" option.

  2. Fathom Webhook Setup:

Activate the Webhook n8n node (the initial n8n trigger).
Copy the unique Test or Production URL generated by this n8n node.
Go to your Fathom API Settings (Webhooks documentation) and paste the URL as the endpoint for meeting completion notifications.
