Overview

Manually reviewing detailed lead qualification forms is time-consuming and prone to human error. This specialized n8n workflow solves this by transforming raw form data into actionable sales intelligence instantly. When a new prospect fills out a Tally form, this automation immediately captures the data using an n8n trigger. It then leverages an advanced LangChain n8n node with a custom system prompt (acting as an expert AI sales qualifier) to summarize challenges, propose action points, and assess the lead's fit. By integrating multiple large language models via OpenRouter (Qwen and Gemini) with built-in fallback logic, this n8n workflow guarantees reliability. The final, detailed report is delivered straight to a designated inbox using the Gmail n8n node, drastically accelerating the sales pipeline and ensuring your team focuses only on qualified leads. This robust n8n template showcases best practices for AI integration.

How it Works

This comprehensive n8n workflow begins when a lead completes and submits a Tally form, triggering the Tally Form Response n8n trigger (a Webhook node).

  1. Trigger and Setup: The webhook sends the submission data to the n8n workflow. Immediately following, the Set Email n8n node is executed to define the recipient email address for the final report. Users must customize this n8n node.

  2. AI Qualification (The Core n8n Node): The data flows into the Qualify Lead n8n node (a Chain LLM node). This specialized n8n node receives all fields (Company Name, Challenges, Budget, Goals, etc.) and uses a highly structured LangChain prompt. This prompt instructs the AI to generate a summary, identify key action points, flag missing data, suggest follow-up questions, and provide a qualitative Lead Fit Assessment.

  3. LLM Reliability: This particular n8n workflow uses two AI models connected through OpenRouter: Qwen3-07-25 (primary) and Gemini 2.5 pro (secondary). The n8n node is configured with needsFallback: true, ensuring that if the Qwen model encounters an error, the n8n workflow seamlessly attempts the analysis again using the Gemini model, maintaining high uptime for this crucial automation.

  4. Final Reporting: Once the AI processing is complete, the structured text output is passed to the Send a message n8n node (Gmail). This n8n node compiles the detailed lead report and sends it to the email defined in the Set Email n8n node, completing the automation cycle.

Installation Guide

To install this n8n template, follow these steps:

  1. Import: Copy the provided JSON data and import it directly into your n8n instance.

  2. Tally Webhook Setup: Activate the Tally Form Response n8n trigger. Copy the production webhook URL and paste it into the 'Integrations' tab of your specific Tally form.

  3. Credential Setup:

OpenRouter: You must set up an OpenRouter API credential and connect it to the Qwen3-07-25 and Gemini 2.5 pro n8n node configurations. This enables the LLM processing.
Gmail: Configure a Gmail OAuth2 credential and connect it to the Send a message n8n node.

  1. Configuration: Update the Set Email n8n node by changing the placeholder value insert-your-email to the actual recipient email address where you want to receive the qualified lead reports.

  2. Activation: Set the n8n workflow to 'Active' to start listening for Tally submissions.

Node Details

This n8n workflow uses several critical n8n nodes:

Tally Form Response (Webhook n8n trigger):
Function: Serves as the starting n8n trigger, awaiting a POST request from a Tally form submission.
Key Configuration: Configured to receive data on a specific webhook path (bf493c41-2f48-4f67-8294-8ab73ddb84f4).

Set Email (Set n8n node):
Function: Defines the target email address (toEmail) using a static assignment. This is mandatory for the Gmail n8n node.
Key Configuration: Value set to insert-your-email (must be updated).

Qualify Lead (LangChain LLM Chain n8n node):
Function: The core processing unit. It constructs a dynamic prompt using input data from the webhook and applies detailed instructions to generate a structured qualification report.
Key Configuration: Uses an extensive system message for expert lead qualification. It connects to both Qwen and Gemini LLM n8n nodes via OpenRouter and features built-in fallback (needsFallback: true).

Qwen3-07-25 & Gemini 2.5 pro (OpenRouter Chat n8n nodes):
Function: Provides the Large Language Model processing power to the Qualify Lead n8n node, offering resilience through the dual-model setup.
Key Configuration: Credentials linked to a shared OpenRouter account; models specified as qwen/qwen3-235b-a22b-07-25 and google/gemini-2.5-pro.

Send a message (Gmail n8n node):
Function: Sends the final, AI-generated qualification report as an email.
* Key Configuration: Message body is dynamically set using the output of the preceding LLM n8n node ({{ $json.text }}). Recipient is pulled from the Set Email n8n node.
