Developers looking for high-utility n8n templates combining email, AI, geocoding, and database operations.

Overview

Manual processing of logistics requests received via email is slow, error-prone, and inefficient. This sophisticated n8n workflow solves this by creating a fully automated pipeline for handling transportation orders.

The automation starts with a Gmail n8n trigger watching for new requests. It utilizes an intelligent AI Agent n8n node, powered by a large language model like GPT-4o, to reliably extract structured data points (addresses, timings, shipment number) from unstructured email text. Once extracted, the n8n workflow leverages the Open Route Service API for essential geocoding, converting addresses into GPS coordinates, and calculating real-time driving distance and time for heavy goods vehicles (HGV).

All data is systematically logged and updated in Google Sheets, ensuring a centralized system of record. Finally, the n8n workflow completes the loop by generating and sending a concise, professional, and data-rich confirmation reply back to the customer, drastically improving response times and operational efficiency. This specific n8n template demonstrates the power of combining modern AI tools with traditional business services.

How it Works

This comprehensive n8n workflow follows a five-stage logical process:

  1. Trigger & AI Extraction: The process begins with the Gmail n8n trigger, which activates upon receiving a new shipment request email. The email content is immediately passed to the AI Agent n8n node, which uses a System Message and a Structured Output Parser n8n node to extract logistics fields into a clean JSON object (e.g., shipment number, pickup/delivery addresses).

  2. Initial Record Keeping: The extracted shipment data is immediately recorded or updated in a central Google Sheets document using the shipment number as the matching key.

  3. Geocoding: The n8n workflow then uses the Open Route Service API (via an HTTP Request n8n node) to geocode both the pickup and destination addresses. These newly acquired GPS coordinates (latitude and longitude) are saved back to the corresponding row in Google Sheets.

  4. Route Calculation: Once coordinates are secured, the n8n workflow queries the Open Route Service Directions API (using the driving-hgv profile) to determine the estimated driving distance and transit time. This data is then calculated and updated in the Google Sheets record.

  5. Confirmation & Reply: The n8n workflow fetches the complete, finalized shipment record from Google Sheets. A secondary AI Agent n8n node uses this complete data set to generate a professional, HTML-formatted confirmation reply. The Gmail n8n node then sends this customized confirmation back to the original sender, concluding the automated transaction. This entire n8n template ensures minimal human intervention.

Installation Guide

To deploy this powerful n8n workflow, follow these setup steps:

  1. Import: Import the provided n8n workflow JSON into your n8n instance.

  2. Gmail Credentials: Set up or select your Gmail API credentials in the initial Gmail n8n trigger node to allow monitoring of incoming emails.

  3. AI Credentials: Configure your credentials for the Chat Model n8n node (e.g., OpenAI/GPT-4o-mini). Ensure these credentials are linked to both 'AI Agent Parser' and 'AI Agent Reply' nodes.

  4. Google Sheets Setup: Create a Google Sheet named 'Transportation Orders' with columns matching the data fields (e.g., shipmentnumber, pickupaddress, drivingdistance, drivingtime). Select your Google Sheets credentials and link the Sheet ID and name in all Google Sheets n8n node steps.

  5. Open Route API Key: Obtain a free API key from the Open Route Service documentation. Add this key as a credential or directly configure it within the 'Query Open Route API Pickup', 'Query Open Route API Delivery', and 'Request Open Route API' HTTP Request n8n node parameters.

  6. Activation: Once all credentials and configurations are set, activate the n8n workflow.

Node Details

This n8n template relies on several crucial n8n node components:

Gmail Trigger: The dedicated n8n trigger that starts the automation upon receiving a new email, checking for updates every minute.
AI Agent Parser (Langchain): The core AI n8n node. It uses GPT-4o-mini and a Structured Output Parser n8n node to turn unstructured email body and subject into a strict, predefined JSON schema for logistics data.
Google Sheets (Record Email Content / Save GPS / Save Results): Used extensively throughout the n8n workflow to centralize and update the shipment data. It uses the appendOrUpdate and update operations, matching records based on the extracted shipment_number.
HTTP Request (Open Route Service API): This n8n node interacts with the Open Route Service Geocoding endpoint to convert addresses to GPS coordinates (latitude/longitude), and the Directions endpoint (using driving-hgv) to calculate distance and duration metrics.
Set (GPS Pickup / GPS Delivery / Driving Time & Distance): These n8n node components are used for simple data manipulation, such as extracting coordinates from the API JSON response and converting meters/seconds into kilometers/minutes.
AI Agent Reply (Langchain): The final AI n8n node, responsible for generating a professional, HTML-formatted confirmation email body summarizing all the recorded data.

  • Gmail (Reply): Sends the AI-generated HTML content as a direct reply using the ID of the email caught by the initial Gmail n8n trigger.
