Who is this best for?

Event Managers and Coordinators needing rapid post-event summaries.
Marketing Analysts who require synthesized data from various sources.
Operations teams looking for ready-made n8n templates for generative AI reporting.
Developers seeking a sophisticated n8n workflow example combining external APIs, code, AI agents, email, and database operations.

Overview

Generating detailed, insightful post-event reports often involves manual data compilation and synthesis, which is time-consuming and prone to human error. This powerful n8n workflow solves this by fully automating the process. It acts as an expert reporting system: when triggered, it simultaneously pulls attendee lists and engagement metrics from external APIs. This raw data is then fed into an advanced OpenAI Agent powered by GPT-4o-mini, which synthesizes the information into a professional, cohesive report. The output is then immediately distributed via email to stakeholders and persistently saved in a PostgreSQL database, ensuring timely communication and data archival. This complex use case demonstrates the capability of the n8n node ecosystem to handle orchestration and generative AI tasks seamlessly. This complete n8n template significantly streamlines your reporting lifecycle.

How it Works

This n8n workflow begins with the Webhook Trigger, waiting for an external HTTP POST request to initiate the event reporting process.

  1. Trigger & Data Retrieval: The Webhook Trigger receives the event ID and metadata. It immediately fires off two parallel HTTP requests: Get Attendees and Get Engagement Metrics, leveraging the speed of the n8n node architecture.

  2. Data Consolidation: The Process Metrics code n8n node receives the parallel inputs, merges the attendee data and engagement metrics, and structures the combined data into a unified format suitable for the AI model.

  3. AI Orchestration: The consolidated data is passed to the AI Agent (LangChain Agent n8n node). This agent utilizes the integrated AI Generate Report n8n node, which uses GPT-4o-mini, to analyze the metrics and produce a narrative, professional post-event summary and report body. This interaction is the core of this n8n workflow.

  4. Distribution: The generated report then follows two parallel paths:

Send Report Email: Sends the complete report, using the event name dynamically extracted from the Process Metrics n8n node output, to a specified stakeholder email address.
Save to Database: Archives the report contents and relevant metadata into a designated PostgreSQL table.

  1. Confirmation: Finally, the Send Response n8n node responds to the initial webhook call with a JSON success message, completing the automated cycle. This sophisticated n8n template ensures robust and reliable reporting.

Installation Guide

To use this advanced n8n workflow, follow these setup steps:

  1. Import the n8n template: Copy the provided JSON definition and import it directly into your n8n instance.

  2. Webhook Setup (n8n trigger): Open the Webhook Trigger n8n node. Note the Test and Production URLs. Configure your external systems (e.g., event completion platform) to send a POST request containing event data to this endpoint.

  3. Credential Configuration: This n8n workflow requires three sets of credentials:

OpenAI: Update the credentials for the AI Generate Report n8n node with your OpenAI API Key, ensuring access to the necessary models.
SMTP: Update the SMTP credentials in the Send Report Email n8n node to ensure emails can be sent from your configured address.
* PostgreSQL: Configure the Save to Database n8n node with valid PostgreSQL credentials (Host, Database, User, Password). You must also specify the target table name.

  1. API Adjustments: Review the URLs in the Get Attendees and Get Engagement Metrics n8n nodes, updating them to match your specific internal API endpoints. You may also need to adjust the logic in the Process Metrics n8n node based on the received API payload.

  2. Activation: Once all credentials and configurations are set, activate the n8n workflow.

Node Details

This comprehensive n8n template relies on several key n8n nodes for complex orchestration:

Webhook Trigger (n8n trigger):
Function: The starting point, initiating the n8n workflow upon receiving an HTTP POST request to /event-report.
Key Configuration: Response mode is set to respond only when the workflow reaches the final response node.
Get Attendees & Get Engagement Metrics (HTTP Request n8n node):
Function: Fetches necessary raw data concurrently from external APIs to ensure rapid processing.
Key Configuration: Targets external URLs like https://oneclick.com/GetAttendees.
Process Metrics (Code n8n node):
Function: Critical for pre-processing. It combines the parallel API results and structures the data payload into a single, clean input object for the AI agent.
AI Agent (LangChain Agent n8n node):
Function: Orchestrates the generative task. It determines the best approach for generating the final report.
Key Configuration: Serves as the logic gate, utilizing the connected OpenAI LLM.
AI Generate Report (LangChain Chat OpenAI n8n node):
Function: The specific language model used to write the report, based on the metrics provided by the Process Metrics n8n node.
Key Configuration: Model set to gpt-4o-mini with a temperature of 0.7 for balanced, high-quality content generation.
Send Report Email (Email Send n8n node):
Function: Dispatches the final, AI-generated report to key stakeholders.
Key Configuration: Uses a dynamic subject line derived from the workflow data: Event Report: {{ $('Process Metrics').first().json.eventName }}.
Save to Database (Postgres n8n node):
Function: Ensures persistent storage and data archival by saving the report into PostgreSQL.
Send Response (Respond To Webhook n8n node):
* Function: Provides the final confirmation to the triggering system that the n8n workflow has completed successfully.
