AI-Powered Resume Screening and ClickUp Task Automation - n8n Workflow

Use this robust n8n workflow to automate HR tasks. It watches Google Drive for new resumes, uses GPT-4o for data extraction, saves structured data to Google Sheets, and automatically creates hiring tasks in ClickUp. A prime example of effective n8n templates.

Who is this best for?

  • Recruitment Teams & HR Managers: Seeking to eliminate manual data entry from resumes.

  • Automation Engineers: Looking for advanced n8n templates that integrate AI, cloud storage, spreadsheets, and project management.

  • Operations Specialists: Needing to standardize data intake processes for better reporting.

  • Users of n8n: Who want to leverage the power of the LangChain n8n node with GPT-4o for complex text extraction.

Overview

Processing job applications manually is time-consuming and prone to errors. This powerful n8n workflow provides a complete solution for automating the resume pipeline, from file upload to task assignment. It solves the problem of unstructured data intake by using advanced AI analysis (GPT-4o) to transform PDF resumes into clean, structured JSON data. Once processed, the candidate information is saved to a permanent, searchable database in Google Sheets, and a new, actionable hiring task is immediately created in ClickUp. This complete automation showcases the efficiency possible when using n8n for high-volume, repetitive business processes, proving why these n8n templates are essential for modern HR operations.

How it Works

The entire process is initiated by the Google Drive n8n trigger, which continuously monitors a specified 'Resume_store' folder for new file uploads.

  1. Trigger and Download: When a new resume (PDF) is detected, the n8n trigger starts the execution. The workflow then uses the Google Drive n8n node to download the full file content.

  2. Text Extraction: The file is passed to the Convert PDF to Text n8n node, which extracts all readable text from the document.

  3. AI Analysis: The extracted text moves to the AI Resume Analyzer (LangChain Agent n8n node), which uses a linked GPT-4o language model to read the unstructured text and extract specific fields (Name, Email, Skills, Experience) formatted strictly as JSON.

  4. Data Cleaning: The output from the AI often includes markdown fences (e.g., ```json). The Clean AI Response custom Code n8n node executes a JavaScript function to strip these fences, ensuring the output is perfectly clean, parseable JSON.

  5. Database Storage: The structured data is then written to a Google Sheets document via the Save Candidate to Database n8n node. It uses the candidate's Name to append a new row or update an existing one.

  6. Task Creation: Finally, the workflow uses the Create Hiring Task ClickUp n8n node to automatically generate a new task titled '[Candidate Name] Hiring Process' in the specified space and list, assigning it to the relevant team member to start the formal hiring pipeline. This seamless flow demonstrates the power of a fully integrated n8n workflow.

Installation Guide

To deploy this n8n workflow, follow these steps:

  1. Import: Copy the provided JSON code and paste it directly into your n8n instance's workflow editor.

  2. Google Drive Credentials: Configure the credentials for the Watch for New Resumes n8n trigger and Download Resume File n8n node. Ensure the trigger is linked to the specific folder where resumes will be uploaded.

  3. AI Credentials: Set up your Azure OpenAI or standard OpenAI credentials (used by the AI Language Model node). The Agent n8n node requires a compatible LLM service.

  4. Google Sheets Setup: Create a target spreadsheet with columns matching the data extracted by the AI (Name, Email, Phone, Skills, etc.). Update the Save Candidate to Database n8n node with the correct Document ID and Sheet Name.

  5. ClickUp Credentials: Configure the ClickUp credentials and update the Create Hiring Task n8n node with the correct Space, Folder, List IDs, and Assignees.

  6. Activate: Set the Google Drive n8n trigger to 'Active' to begin watching the folder.

Node Details

This n8n workflow relies on a series of specialized n8n node types to achieve complex data transformation:

Watch for New Resumes (Google Drive Trigger n8n node):
Function: Serves as the primary n8n trigger, polling a specified Google Drive folder (Resume_store) every minute for new files.
Key Configuration: Event is set to fileCreated; Trigger On is set to specificFolder.
Download Resume File (Google Drive n8n node):
Function: Downloads the content of the file identified by the n8n trigger using its file ID.
Key Configuration: Operation is download; File ID is dynamically set using expression ={{ $json.id }}.
Convert PDF to Text (Extract From File n8n node):
Function: Converts the binary PDF file content into plain, machine-readable text for AI processing.
Key Configuration: Operation is pdf.
AI Resume Analyzer (LangChain Agent n8n node):
Function: Uses the linked GPT-4o language model to analyze the resume text against a detailed prompt, forcing the output into a structured JSON schema containing candidate details.
Key Configuration: Prompt defines the desired output structure (name, email, skills, experience, etc.) and specifies JSON-only output.
Clean AI Response (Code n8n node):
Function: Executes custom JavaScript to remove extraneous code fences (``json) surrounding the AI's output, preventing parsing errors downstream.
Key Configuration: Code specifically uses
text.replace(/``json|`/g, "").trim(); and attempts safe JSON.parse().
Save Candidate to Database (Google Sheets n8n node):
Function: Stores the finalized, structured candidate data into a Google Sheet, matching on the candidate's name to append or update records.
Key Configuration: Operation is appendOrUpdate; Matches on the Name column.
Create Hiring Task (ClickUp n8n node):
Function: Automates the creation of a new task in ClickUp, signaling the start of the hiring process for the newly processed candidate.
* Key Configuration: Task Name is dynamically set to ={{ $json.name }} Hiring process; requires specific list and assignee IDs.
