Once submitted, the system retrieves a pre-approved Word template from Dropbox, securely converts it for API use, and sends the template and the new job data to the Foxit Document Generation service. Foxit handles the complex merging and outputs a pristine PDF file.

How it Works

This automation is initiated by the custom n8n trigger and proceeds through several critical file transformation steps:


  1. Form Submission Trigger: The process starts when the "On form submission" n8n trigger is activated, capturing necessary data fields like Job Position, Salary, and Responsibilities.

  2. Template Retrieval: The next n8n node connects to Dropbox to download a designated Word template file (docgensamplejob_offer.docx) used for the job posting structure.

  3. Binary Conversion: The "Convert Word to B64" n8n node is crucial for preparing the file. It takes the binary Word document and converts it into a Base64 string, which is the required format for the Foxit Document Generation API.

  4. Document Generation (API Call): The "Document Generation" n8n node (an HTTP Request) sends the Base64 template and the dynamic form data collected by the n8n trigger to the Foxit Fusion API. The request explicitly specifies the output format as PDF.

  5. Final File Conversion: The resulting PDF, returned by the API as a Base64 string in the response body, is then passed to the "Convert to File" n8n node. This final n8n node transforms the Base64 back into a binary PDF file, completing the execution of the n8n workflow and making the final job posting PDF available for downstream systems.

Installation Guide

To deploy this powerful n8n workflow template, follow these steps:


  1. Import: Import the provided JSON data into your n8n instance.

  2. Setup Trigger: Activate the "On form submission" n8n trigger node to generate the public URL where users will input job data.

  3. Dropbox Credentials: Configure the "Dropbox" n8n node with your OAuth2 credentials. Ensure the specified path (/Foxit/docgensamplejob_offer.docx) points to the template file in your Dropbox account.

  4. Foxit Credentials: Set up the "Document Generation" n8n node with the required HTTP Custom Auth credentials (API Key/Token) for the Foxit Fusion Document Generation service.

Node Details

On form submission (n8n trigger): This is the entry point, serving as the user interface to collect structured data. It captures required fields: Job Position, Salary (number type), Responsibilities (textarea), and Office Location. This n8n trigger starts the entire process.
Dropbox (n8n node): Function is to retrieve the necessary docx template file from a specific path within a connected Dropbox account. This ensures the template is standardized before processing.
Convert Word to B64 (n8n node): This crucial intermediate step converts the binary file downloaded from Dropbox into a Base64 string, stored under the data property, which is necessary input for the external API.
Document Generation (n8n node - HTTP Request): Executes the core logic. It sends a POST request to the Foxit API using the Base64 template string ({{ $json.data }}) and merges form data (e.g., {{ $('On form submission').item.json['Job Position'] }}) into the documentValues JSON payload.
