Overview

This robust n8n workflow provides a cost-effective, scalable solution for managing cold email outreach and follow-up sequences. Instead of relying on expensive marketing automation software, this n8n template uses Google Sheets for contact management and Gmail for delivery.

The entire n8n workflow is designed with necessary safeguards, including rate limiting (using the Limit n8n node) and sophisticated filtering to ensure contacts only receive the appropriate next email in the sequence, based on the data stored in the Google Sheets n8n node. This approach ensures compliance with sending limits and provides highly personalized communication, making this one of the most useful n8n templates available for sales operations.

How it Works

  1. The automation is initiated by the Schedule Trigger n8n node, which acts as the n8n trigger, running the entire sequence at predefined intervals.

  2. The Google Sheets n8n node, labeled 'Get Contacts', retrieves all outreach leads and their current sequence status from the sheet.

  3. Flow control is executed through a sequence of Filter and Limit n8n nodes. The Limit n8n node restricts the maximum number of emails sent per execution, while the Filter n8n nodes ('Filter passes only unprocessed contacts' and 'Has contact completed email sequence?') ensure that only eligible contacts proceed.

  4. The workflow utilizes the Split In Batches n8n node ('Loop Over Items') to process contacts sequentially or in small groups.

  5. For each contact, a Set n8n node ('Determine Email Number') calculates which step in the follow-up sequence (e.g., Email 1, Email 2) should be sent next.

  6. The Google Docs n8n node fetches the content for the determined email template.

  7. An HTML n8n node formats and personalizes the retrieved template content.

  8. The personalized message is sent using the Gmail n8n node ('Send a message').

  9. Immediately after sending, another Google Sheets n8n node ('updatecontacts') updates the contact's record with the new sequence number and a timestamp, preparing the contact for the next run of the n8n workflow.

  10. Finally, a Wait n8n node introduces a deliberate pause before looping, ensuring stable operation.

Installation Guide

  1. Import the provided n8n workflow JSON into your n8n instance.

  2. Google Sheets Setup: You will need to create credentials for Google Sheets. Configure the 'Get Contacts' and 'updatecontacts' n8n node instances with your Google Sheet ID, sheet name, and column headers (must include email, name, and a column to track the sequence step/status).

  3. Google Docs Setup: Configure the 'email template selector' n8n node to point to the Google Doc containing your outreach templates.

  4. Gmail Setup: Establish Gmail credentials and configure the 'Send a message' n8n node. Ensure the 'From' field and subject lines dynamically reference the data processed by previous n8n node steps.

  5. Customize the Schedule Trigger n8n trigger frequency to match your desired sending cadence.

  6. Activate the n8n workflow and test with a small subset of data.

Node Details

Schedule Trigger (n8n trigger): Initiates the execution of the entire n8n workflow based on a scheduled interval (e.g., daily).
Google Sheets (Get Contacts): Reads rows from the contact list spreadsheet, providing the necessary data for the n8n workflow.
Limit (Limits the number of emails per run): A crucial flow control n8n node used to cap the processing volume, essential for respecting daily sending limits imposed by services like Gmail.
Filter (Filter passes only unprocessed contacts): Filters the incoming contact list, ensuring the n8n workflow only targets leads who have not yet received all emails in the defined sequence.
Split In Batches (Loop Over Items): Processes the filtered contacts in batches, often used in complex n8n templates to prevent execution timeouts or large data stalls.
Set (Determine Email Number): A fundamental n8n node that uses existing data (e.g., 'Last Email Sent' column) to calculate the next email step number (1, 2, 3...) dynamically.
Google Docs (email template selector): Retrieves the specific, pre-written email body content for the current step in the sequence, highly efficient for managing n8n templates.
Gmail (Send a message): The core action n8n node that sends the finalized, personalized message to the recipient.

  • Google Sheets (updatecontacts): Ensures data integrity by updating the contact's row in the Google Sheet with the latest sequence step and timestamp after a successful send.
