Based on the categorization, the workflow ensures the data is either immediately logged using a Google Sheets n8n node or triggers an automated acknowledgement email via the Email Send n8n node. This efficient approach leverages the flexibility of n8n templates to drastically cut down on manual processing time, ensuring all support cases are recorded and acknowledged instantly.

How it Works

The entire process is initiated by a dedicated Webhook n8n trigger.


  1. Ticket Capture (n8n Trigger): The workflow starts with the Capture Ticket n8n node, configured as a Webhook listener on the path /customer-support. This acts as the primary n8n trigger for all incoming support submissions (containing customer name, email, and message).

  2. Data Preparation: The Extract Message Set n8n node takes the payload from the trigger and standardizes the necessary fields (specifically extracting the message content) for subsequent steps.

  3. Categorization & Routing: The Check Category If n8n node evaluates the extracted message. The logic is simple: it checks if the message contains the keyword 'refund'.

  4. Specific Handling (Refund Path): If the message contains 'refund', the workflow follows the TRUE path and executes the Save Ticket Google Sheets n8n node. This appends the full ticket details (Name, Email, Message) to a specified Google Sheet for priority tracking.

  5. General Handling (Default Path): If the message does not contain 'refund', the workflow follows the FALSE path and executes the Send Acknowledgement Email Send n8n node, ensuring the customer receives an immediate, personalized response using the data captured by the initial n8n trigger. This structure ensures every interaction is handled appropriately based on its content.

Installation Guide

To deploy this n8n workflow and start automating your support tickets, follow these steps:


  1. Import the n8n Workflow: Copy the provided JSON data and paste it into your n8n instance using the 'New' menu -> 'Import from JSON'.

  2. Configure Credentials:

Google Sheets: You must set up a Google Sheets credential. Locate the Save Ticket n8n node and link your valid Google Sheets OAuth2 API credential. Ensure you update the Sheet ID in the configuration.
Email Send: Locate the Send Acknowledgement n8n node and attach your SMTP credential for sending emails.

  1. Define Sheet Structure: Ensure your Google Sheet is set up with columns corresponding to the fields being appended (Name, Email, Message) on a sheet named 'Tickets'.

  2. Activate the Webhook: After saving the n8n workflow, activate it. Retrieve the URL displayed in the Capture Ticket n8n trigger node and configure your external form, chat widget, or support system to send ticket data to this URL.

Extract Message (Set n8n Node)

Check Category (If n8n Node)
