Who is this best for?

  • Organizations or educational institutions managing high-volume event registrations or student applications.

  • Users needing a centralized, real-time dashboard view of completion status without manual data analysis.

  • Administrators who want to initiate bulk personalized communication (reminders/acknowledgements) with a single click inside an n8n workflow.

  • Anyone looking for advanced examples of using the n8n Code node for data comparison and HTML generation.

Overview

Managing registration compliance across large datasets can be time-consuming, requiring constant manual checks between a master list and submission records. This powerful n8n workflow solves this by creating an automated, interactive monitoring solution.

The core value proposition of this n8n template is threefold: first, it combines data from two Google Sheets sources (a master student list and form responses) using custom logic. Second, it instantly generates a live, web-based dashboard allowing quick visualization of submitted and pending statuses. Third, the dashboard contains buttons that act as dedicated n8n triggers, executing sub-workflows to send personalized Gmail messages to either acknowledge completed registrations or send reminders to pending users. This is an essential n8n workflow for improving communication efficiency and data integrity.

How it Works

This automation consists of three interconnected n8n workflow paths, all initiated by Webhooks.

1. Dashboard Generation (Workflow 1)

  1. The primary Webhook (the n8n trigger) is called by navigating to its URL.

  2. Two Google Sheets n8n node instances simultaneously fetch the master list (e.g., student roster) and the registration responses list.

  3. The Merge n8n node combines the data streams.

  4. The Code n8n node performs crucial data comparison: it normalizes register numbers and checks which students from the master list are present in the responses. It calculates metrics (total, submitted, pending) and generates a detailed HTML dashboard.

  5. The dashboard includes JavaScript links pointing to the two subsequent Webhooks.

  6. The Respond to Webhook n8n node returns the generated HTML directly to the browser.

2. Send Acknowledgements (Workflow 2)

  1. The dedicated Webhook n8n trigger for acknowledgements is activated by clicking the corresponding button on the dashboard.

  2. The Google Sheets n8n node retrieves the data again.

  3. The Code - Prepare Messages n8n node filters the data to include only completed registrations and formats personalized thank-you emails using the student's name and registration number.

  4. The Gmail n8n node sends a bulk, personalized acknowledgment message to each completed student.

  5. A confirmation page is displayed.

3. Send Reminders (Workflow 3)

  1. The reminder Webhook n8n trigger is activated by clicking its button on the dashboard.

  2. The Google Sheets n8n node fetches the required lists.

  3. The Code - Prepare Messages1 n8n node identifies all students classified as pending.

  4. The Gmail n8n node sends a targeted reminder email to all students who have not yet submitted their form, providing crucial follow-up automation provided by this n8n workflow.

Installation Guide

To set up this comprehensive n8n workflow, follow these steps:

  1. Import the n8n template: Copy the provided JSON data and paste it into your n8n instance using the 'New' -> 'Import from JSON' option.

  2. Configure Credentials: You will need two main credentials:

Google Sheets OAuth2 API: Configure access to the Google account owning both your Master List and your Form Responses spreadsheet. All four Google Sheets n8n node instances require this credential.
Gmail OAuth2: Configure access to the Gmail account that will be sending the acknowledgement and reminder emails. Both Gmail n8n node instances require this credential.

  1. Update Spreadsheet IDs: For every Google Sheets n8n node in the workflow (there are six total), ensure you update the 'Document ID' and 'Sheet Name' parameters to point accurately to your specific Master List and Form Responses sheets.

  2. Update Webhook URLs (Critical): The Code n8n node contains hardcoded URLs for the reminder and acknowledgement Webhooks (e.g., https://n8n.srv765546.hstgr.cloud/webhook/send-reminder). After activating the n8n workflow, note the correct base URL of your n8n instance and update these links within the Code node's JavaScript to ensure the dashboard buttons work correctly.

  3. Activate: Set the n8n workflow to 'Active' and test the primary Webhook URL to view the live dashboard.

Node Details

  • Webhook (n8n trigger): Acts as the primary n8n trigger for all three paths. The main dashboard uses the path /2235781f-4371-4f6e-8767-41c352ed171f, while the communication paths use readable paths like /send-acknowledgements and /send-reminder.

  • Google Sheets (n8n node): Used six times throughout the n8n workflow. Its primary function is to read data from two separate spreadsheets: the student master list and the form submission responses. The operation is set to 'Read' mode.

  • Merge (n8n node): Used in the dashboard path to combine the lists from the two Google Sheets sources before custom processing begins.

  • Code (n8n node): This is the critical logic engine of the n8n workflow. It performs complex data matching (comparing register numbers), calculates statistics, filters data into completed and incompleted arrays, and generates the entire interactive HTML dashboard structure. The custom code logic determines the success of this n8n workflow template.

  • Respond to Webhook (n8n node): Used to return the custom-generated HTML dashboard or confirmation messages back to the user's browser, completing the web interaction of this n8n template.

  • Code - Prepare Messages (n8n node): Custom code that filters the combined data based on status (completed or pending), generates personalized email subjects, and formats the HTML body of the messages, preparing the output for the subsequent Gmail n8n node.

  • Gmail (n8n node): Used to send the final personalized emails, acting as the communication endpoint of this powerful n8n workflow. It uses expressions like ={{$json["Email Address"]}} to dynamically address each message.
