Overview

Responding to Requests for Proposals (RFPs) is a time-consuming process that slows down sales cycles. This innovative n8n workflow provides a robust solution by automating the drafting process end-to-end. By leveraging an n8n trigger (a webhook) to receive the RFP document, the automation instantly extracts all relevant questions, regardless of the document's formatting. It then utilizes a specialized OpenAI Assistant, pre-fed with company knowledge, to generate accurate and contextualized answers for each question. The results are compiled into a dedicated draft document using the Google Docs n8n node, drastically reducing the time required to create a first draft. This specific n8n workflow allows sales teams to dramatically increase the volume of RFPs they can respond to efficiently.

How it Works

The entire process begins with a Webhook, which acts as the primary n8n trigger, receiving the RFP document and associated metadata (like title and requester email).

  1. Ingestion and Setup: The received file is processed by the Get RFP Data n8n node to extract the raw text from the PDF. Variables are set based on the webhook payload. A new response document is immediately created in Google Docs, followed by the insertion of key RFP metadata.

  2. Question Extraction: The core logic uses a LangChain LLM Chain powered by an OpenAI Chat Model. This specialized n8n node analyzes the extracted RFP text and identifies all supplier questions. An Item List Output Parser ensures the output is a structured list of questions ready for processing.

  3. Batch Processing: The For Each Question... n8n node (Split In Batches) iterates through the list of extracted questions one by one.

  4. AI Response Generation: Inside the loop, the Answer Question with Context n8n node calls the configured OpenAI Assistant. Since the assistant is trained on company materials, it generates high-quality, contextual answers for the current question.

  5. Documentation: The Record Question & Answer in Response Doc Google Docs n8n node appends the generated question and its corresponding AI answer to the response document.

  6. Notification: Once the loop completes and all answers are recorded, the n8n workflow sends out immediate notifications via Gmail and Slack, providing the requester and the internal team with the link to the completed RFP response draft.

Installation Guide

To deploy and utilize this powerful n8n workflow, follow these steps:

  1. Import: Copy the provided JSON data and import it into your n8n instance via the Workflows section (Import from JSON).

  2. Webhook Setup: The Wait for Request n8n trigger node is configured with a specific path. Activate the workflow to generate the live webhook URL, which you will use as the API endpoint to submit your RFP documents.

  3. OpenAI Credentials: You must provide credentials for the OpenAI n8n node. Crucially, you need to create and configure an OpenAI Assistant. This assistant must have file retrieval enabled and include your company's sales/marketing documents as knowledge assets. Update the assistantId in the Answer Question with Context n8n node.

  4. Google Docs Credentials: Set up OAuth2 credentials for the Google Docs n8n node to allow the workflow to create and edit documents in your designated folder (ensure the folder ID is updated).

  5. Notification Setup: Configure the Gmail and Slack n8n nodes with the necessary credentials. Update the Send Chat Notification n8n node to target your desired Slack channel (e.g., #RFP-channel).

Node Details

Wait for Request (Webhook n8n trigger): Initiates the n8n workflow upon receiving an HTTP POST request, which carries the RFP file and metadata (title, requester email).
Get RFP Data (Extract From File): This n8n node is vital for PDF processing, taking the binary file data from the webhook and converting the content into accessible text for the AI steps.
Extract Questions From RFP (LangChain LLM Chain): Defines the core AI instruction. It uses a LangChain n8n node paired with an OpenAI Chat Model to perform zero-shot extraction of questions from the raw RFP text.
Item List Output Parser (LangChain Output Parser): Ensures the AI's extracted list is standardized into a consumable JSON format before the looping process starts.
Create new RFP Response Document (Google Docs n8n node): Manages the creation of the dynamic Google Doc draft, using variables set earlier for the filename.
For Each Question... (Split In Batches): Controls the flow, ensuring each question is handled sequentially by the powerful Answer Question with Context n8n node.
Answer Question with Context (OpenAI Assistant n8n node): The key AI component. It sends the individual question to a pre-trained OpenAI Assistant for accurate, context-aware answering.
Record Question & Answer in Response Doc (Google Docs n8n node): Loops back to the document to insert the processed question and the AI-generated answer, building the final response document.

  • Send Email Notification (Gmail n8n node): Provides the final output, notifying the requesting user via email that the automated n8n workflow process is complete.
