It proactively monitors for new tickets, retrieves relevant knowledge from your internal Google Sheets FAQ database, and uses the power of Azure OpenAI’s GPT model to synthesize a precise, professional response. This specific n8n workflow demonstrates an advanced application of AI in support operations, ensuring that customers receive accurate, immediate replies while freeing up human agents for complex issues. How it Works

This n8n workflow is initiated by the Test Start n8n trigger (which you should replace with a Zendesk Trigger for production).


  1. The n8n trigger fires, leading to the Fetch Zendesk Tickets n8n node, which pulls the latest support requests.

  2. The flow then splits: one branch uses the Load FAQ List Google Sheets n8n node to retrieve the knowledge base content.

  3. Concurrently, the ticket details are refined by the Select Latest Ticket Code n8n node and the user email is fetched via the Fetch Requester Email Zendesk n8n node.

  4. The Merge Ticket & FAQs n8n node combines the support ticket query and the FAQ data, preparing the context.

  5. The Prepare Data for AI Code n8n node structures this information into a high-quality prompt for the language model.

  6. The Generate Support Reply LangChain n8n node, powered by the Azure OpenAI Chat Model n8n node, processes the prompt and the FAQ context to craft a tailored support message.

  7. The AI-generated reply and the requester's email details are combined by the Merge Reply & User Info n8n node.

  8. The Format Email for Gmail Code n8n node finalizes the structure.

  9. Finally, the Send Auto-Reply Gmail n8n node delivers the professional, automated response directly to the customer.

Installation Guide

To deploy this comprehensive n8n workflow, follow these steps:


  1. Import the n8n template: Copy the provided JSON data and paste it into your n8n instance using the 'New' button and selecting 'Import from JSON'.

  2. Configure Zendesk Credentials: Set up your Zendesk authentication for the Fetch Zendesk Tickets and Fetch Requester Email n8n node instances.

  3. Configure Google Sheets: Set up credentials for the Load FAQ List n8n node, ensuring it points to the specific spreadsheet and sheet containing your structured FAQ data.

  4. Set up Azure OpenAI: Configure the Azure OpenAI Chat Model n8n node with your API key, deployment name, and resource name. This n8n node requires the LangChain integration.

  5. Configure Gmail: Connect your Gmail account to the Send Auto-Reply n8n node to authorize the sending of emails.
