Overview

Maintaining API connectivity that relies on short-lived OAuth tokens, such as Zoom's, can be challenging. This comprehensive n8n workflow addresses this by establishing a resilient mechanism for automatically refreshing credentials. The solution utilizes the n8n Data Table node to safely store the long-lived refresh token. Every time this n8n workflow runs, it automatically fetches the latest stored refresh token, communicates with Zoom to generate a fresh access token, and saves the new pair back to the n8n Data Table. This ensures that the subsequent step—the creation of a new Zoom user via an HTTP Request n8n node—is always executed with a valid, non-expired access token. This robust n8n automation eliminates manual token updates and guarantees smooth user provisioning.

How it Works

The process begins with the execution of the manual n8n trigger, initiating the user onboarding sequence.

  1. Data Input and Retrieval: The Data n8n node provides the target user's details (name, email). Simultaneously, the workflow uses the Data Table n8n node to retrieve all stored Zoom tokens.

  2. Token Selection and Refresh: The retrieved tokens are processed by Sort and Limit n8n nodes to isolate the single, most recent refresh token. This token is then sent to the Zoom OAuth endpoint via the Get new token HTTP Request n8n node to acquire a new access_token.

  3. Persistence: The newly refreshed token pair is immediately stored back into the n8n Data Table via the Insert new token n8n node, securing the credentials for the next execution of this n8n workflow.

  4. User Preparation: A Set n8n node (Generate random Password) uses a custom JavaScript expression to create a secure password. All necessary data (user profile, new token, generated password) is then combined using the Merge n8n node.

  5. User Creation: The final Create new user HTTP Request n8n node uses the freshly minted access token (as a Bearer token) to call the Zoom API and provision the user. The success is optionally verified using an If n8n node.

Installation Guide

To set up this essential n8n workflow and start provisioning users, follow these steps:

  1. Import the n8n template: Copy and paste the provided JSON into your n8n instance.

  2. Data Table Creation (Step 1): Create a new n8n Data Table specifically for token storage. It must contain two string columns: accessToken and refreshToken. Ensure the Data Table ID is updated in the Get row(s), Insert new token, and Insert token n8n nodes.

  3. Zoom OAuth App (Step 2): Create a standard OAuth App in the Zoom Marketplace. Encode your Zoom app's Client ID and Client Secret into a Base64 string (clientid:clientsecret).

  4. Credential Configuration: In both the Get new token and Zoom First Access Token HTTP Request n8n nodes, replace the placeholder "Basic XXX" in the Authorization header with your Base64 encoded credentials.

  5. Initial Token Generation (Step 3 - One-time): Manually execute the Zoom First Access Token n8n node. This essential first run uses the authorization code flow to obtain the initial tokens and save them using the Insert token n8n node.

  6. Define User Data (Step 4): Update the Data n8n node with the actual firstname, lastname, and email of the user to be onboarded. The remainder of the n8n workflow will handle the provisioning automatically.

Node Details

When clicking ‘Execute workflow’ (Manual Trigger n8n trigger): Serves as the activation point for this automated n8n workflow.
Data (Set n8n node): Stores static input variables (user name, email) required for the Zoom API call.
Get row(s) (Data Table n8n node): Retrieves all available token records from the configured n8n Data Table.
Sort / Limit (Core Logic n8n node): Ensures that the execution path only processes the single newest token entry by sorting by ID descending and limiting the output to one item.
Get new token (HTTP Request n8n node): This crucial n8n node performs the token refresh logic. It sends a POST request using the refreshtoken and basic authentication to secure a new accesstoken.
Insert new token (Data Table n8n node): Saves the freshly acquired accesstoken and refreshtoken back into the n8n Data Table, ensuring long-term workflow functionality.
Generate random Password (Set n8n node): A custom scripting n8n node that generates a cryptographically secure, random password using a JavaScript expression.
Create new user (HTTP Request n8n node): The final action n8n node. It utilizes the new access token as a Bearer token to execute the POST request to the Zoom API, provisioning the new user account.

  • Zoom First Access Token (HTTP Request n8n node): A setup n8n node, required only once, to handle the initial OAuth authorization code exchange to populate the Data Table for the first time.
