Who is this best for?

• Teams using Google Sheets for initial task logging and Monday.com for execution.
• Automation specialists needing reliable data synchronization between spreadsheet and project management systems.
• Users looking for pre-built n8n templates to handle cross-platform data flow.
• Project managers seeking to automate manual task entry.

Overview

Managing tasks across different platforms can lead to missed deadlines and manual data entry errors. This efficient n8n workflow eliminates that friction by creating a seamless bridge between Google Sheets and Monday.com. This automation is vital for maintaining data integrity and boosting productivity. The core of this n8n automation involves a scheduled check on a specific Google Sheet. It looks for any rows flagged as Added = No. Once detected, the powerful Monday.com n8n node handles the task creation automatically. After successful creation in the project management system, the originating row in Google Sheets is immediately updated to Added = Yes, ensuring the same task is not duplicated on subsequent runs. This sophisticated n8n workflow guarantees that new tasks logged in your sheet are instantaneously reflected in your Monday.com board, saving significant time and administrative overhead. This ready-to-use n8n template is a cornerstone for operational efficiency.

How it Works

This automation operates in three primary phases, leveraging several interconnected n8n nodes:

  1. Identify New Tasks (Google Sheets n8n node): The process begins by connecting to the designated Google Sheet. This n8n node performs a targeted read operation, filtering the data to retrieve only rows where the 'Added' column value is 'No'. This acts as the effective n8n trigger for subsequent actions.

  2. Create Monday.com Item (Monday.com n8n node): For every task identified in the previous step, the data is passed to the Monday.com n8n node. This node uses the task information (like the task title from the $json.Task field) and creates a new item on the configured Monday.com board and group ID.

  3. Update Source Status (Google Sheets n8n node): Crucially, the workflow then connects back to the Google Sheets n8n node. Using an appendOrUpdate operation, it matches the row based on the Task name and updates the 'Added' column value from 'No' to 'Yes'. This finalizes the process for that specific item, preventing the n8n workflow from processing it again.

Installation Guide

To deploy this useful n8n workflow and start automating your task synchronization, follow these setup steps:

  1. Import the n8n template: Copy the provided JSON code and import it directly into your n8n instance.

  2. Configure Google Sheets Credentials: Create a new Google Sheets OAuth2 credential in n8n. You will need to grant n8n access to your Google Drive and Sheets.

  3. Set up Google Sheets Node: Open the 'Get new Monday Tasks' and 'Mark row as Completed' n8n node configurations. Select your Google Sheets credential, specify the Spreadsheet ID, and the exact Worksheet Name.

  4. Configure Monday.com Credentials: Obtain your Personal API Token from your Monday.com Admin section. In n8n, create a new Monday.com API credential using this token.

  5. Set up Monday.com Node: Open the 'Create Monday Task' n8n node. Select your Monday.com credential and configure the necessary Board ID and Group ID where the new tasks should be created.

  6. Activate: Save the n8n workflow. Since this flow starts with a data reading operation, it should be scheduled using an n8n trigger (e.g., a Schedule n8n node) to run periodically (e.g., every 5 minutes).

Node Details

Get new Monday Tasks (Google Sheets n8n node):
Function: Reads the source Google Sheet to find unprocessed tasks.
Key Configuration: Filters are applied to the column 'Added' where the value must equal 'No'. This ensures only new tasks are processed by the n8n workflow.
Create Monday Task (Monday.com n8n node):
Function: Creates a new item (task) in Monday.com using the data retrieved from Google Sheets.
Key Configuration: Sets the Item Name using the expression ={{ $json.Task }}. Requires pre-configured Board ID and Group ID.
Mark row as Completed (Google Sheets n8n node):
Function: Updates the source row in Google Sheets to confirm the task has been processed.
* Key Configuration: Uses the operation appendOrUpdate. It matches based on the 'Task' column and explicitly sets the 'Added' column value to 'Yes'.
