Who is this best for?

  • Managed Service Providers (MSPs) using Syncro RMM/PSA.

  • Teams needing instant and reliable time tracking project creation.

  • Technical users looking for practical n8n templates for PSA integration.

  • Anyone seeking to eliminate manual data entry between business systems.

Overview

Managing time tracking manually after a service ticket is created can lead to delays and errors. This essential n8n workflow solves this problem by providing a direct link between Syncro (or any service desk sending webhooks) and Clockify. When a designated event occurs in Syncro (e.g., a new ticket is created), a webhook fires, triggering this automation. This robust n8n workflow captures the critical ticket details—such as the ticket number, customer name, and internal ID—and uses them immediately to provision a perfectly named project in Clockify. Implementing this n8n automation saves considerable administrative time, ensuring that technicians can start accurately tracking time against the new project instantly, maximizing billable hours and data integrity.

How it Works

This specialized n8n workflow operates based on two main steps, initiated by an external event.

  1. Trigger Reception: The process begins with an n8n trigger, specifically the Webhook n8n node, which is configured to listen for incoming POST requests. Syncro must be configured to send a webhook to this unique n8n endpoint whenever a relevant ticket action occurs.

  2. Project Provisioning: Once the Webhook n8n node receives the data payload, the workflow passes the ticket attributes to the Clockify n8n node. This node uses dynamic expressions to construct the project name, ensuring consistency (e.g., Ticket [Number] - [Customer Name] [ID]). The Clockify n8n node then executes the API call to create the project within the specified Clockify workspace.

Installation Guide

To deploy this powerful n8n workflow, follow these steps:

  1. Import: Copy the provided JSON data and paste it directly into your n8n instance using the 'New' -> 'Import from JSON' option.

  2. Credentials: Set up your Clockify credentials in n8n. In the Clockify n8n node, select 'Clockify' under the Credentials section and configure it using your Clockify API key.

  3. Webhook Setup: After importing, click the 'Webhook' n8n node to view its unique URL. Copy this URL.

  4. Syncro Configuration: Navigate to your Syncro RMM/PSA settings. Create a new Webhook configuration and paste the copied n8n Webhook URL. Configure Syncro to send data (POST request) when a new ticket is created or updated, ensuring the necessary ticket attributes are included in the payload.

  5. Activation: Once all credentials and external settings are confirmed, click 'Activate' in the top right corner of the n8n workflow to put it into production mode.

Node Details

Webhook (n8n trigger)
Function: Acts as the primary n8n trigger, waiting for a POST request initiated by an external system (Syncro) when a ticket event occurs.
Key Configuration: Configured to respond with all received data (responseData: allEntries) and listens on a unique path (43d196b0-63c4-440a-aaf6-9d893907cf3c).
Clockify (n8n node)
Function: Handles the connection to the Clockify API to create a new project based on the data received from the Syncro webhook.
Key Configuration:
Resource: Project.
Operation: Create.
Workspace ID: Requires the user's specific Clockify workspace ID (xxx placeholder).
Project Name: Uses a dynamic expression to construct a descriptive name: =Ticket {{$json["body"]["attributes"]["number"]}} - {{$json["body"]["attributes"]["customerbusinessthen_name"]}} [{{$json["body"]["attributes"]["id"]}}]. This expression ensures the Syncro ticket number, customer name, and internal ID are included, providing high context for the time tracking project.
