How it Works

This powerful n8n workflow operates using parallel processing triggered by a single scheduling event.


  1. Trigger Event: The n8n automation starts immediately when the Calendly Trigger n8n node detects an invitee.created event, signaling a new meeting has been successfully booked.

  2. Immediate CRM Update (Path 1): One branch of the n8n workflow immediately connects to the Pipedrive n8n node. This node uses dynamic expressions to create a new 'activity' of type 'call' in Pipedrive, using the event type, invitee name, and start time from the Calendly payload as the subject line.

  3. Calculate Wait Time (Path 2 Setup): The second branch executes the Date & Time n8n node. This node calculates a specific future timestamp by taking the original Calendly event end time and adding 15 minutes. This calculated time is stored as feedbacktime.

  4. Delayed Execution: The flow moves to the Wait n8n node, which pauses the n8n workflow execution until the specific feedbacktime calculated in the previous step is reached (i.e., 15 minutes after the meeting ends).

  5. Post-Call Reminder: Once the wait period concludes, the Slack n8n node executes. It sends a customized message to the 'salesteam' channel, tagging the assigned user and providing meeting details, prompting them to enter notes and mark the reminder with a reaction upon completion. This effective use of the wait n8n node ensures reminders are timely.

Installation Guide

To deploy this useful n8n workflow, follow these steps:


  1. Import: Copy the provided n8n workflow JSON data and paste it into your n8n canvas using the 'New' -> 'Import from JSON' option.

  2. Calendly Credentials: Locate the Calendly Trigger n8n node. You must set up a Calendly API credential to authenticate n8n with your Calendly account. Ensure the webhook is active and listening for invitee.created events.

Key Configuration: Action is calculate, adding 15 minutes to the event end time payload field (endtime). The result is saved as feedbacktime.

Wait (n8n node):
Function: Halts the execution of the second path of the n8n workflow until the calculated feedbacktime is reached, ensuring the Slack reminder is sent post-call.
Key Configuration: Resume set to specificTime, using the dynamic expression ={{$json["feedback
time"]}}.

Slack (n8n node):
Function: Sends a personalized reminder to the sales team member who conducted the call, prompting them for immediate notes.
