Manual synchronization between calendar entries and tracking spreadsheets is tedious, error-prone, and unsustainable. This powerful n8n workflow automates the entire process. It ensures that your target Google Sheet is an accurate mirror of your Google Calendar, intelligently handling two main scenarios: adding brand new events, and updating existing rows if an event's details (like time or title) have changed. By leveraging specialized n8n node configurations and flow control, this n8n template guarantees data integrity. This schedule-based n8n trigger allows users to run the sync reliably every minute, hour, or day, making it an essential component of any productivity stack built on n8n.

How it Works

This n8n workflow starts with a Schedule Trigger n8n trigger, configured to run every minute (though this can be easily adjusted).


  1. Event Retrieval: The flow immediately uses the Google Calendar n8n node to fetch recent events.

  2. Data Check: An IF n8n node (Check for Empty Events1) verifies if any events were retrieved. If the list is empty, the workflow terminates, preventing unnecessary processing.

  3. Preparation for Sync: If events exist, the Split In Batches n8n node (Loop Over Events & Rows1) starts iterating, processing each calendar event individually. Crucially, before processing the event, a Google Sheets n8n node (Get Rows1) retrieves all existing rows from the tracking sheet. This is the baseline data used for comparison.

  4. Matching Logic: A custom Code n8n node (Match Events vs Rows1) executes the core synchronization logic. It compares the unique identifier (like Event ID) of the current calendar event against the rows fetched from the sheet to determine if a match exists.

  5. Routing: An IF n8n node (Check for Match1) routes the data based on the comparison result:

True Path (Match Found): The data proceeds to the Google Sheets n8n node (Update Sheet1) to update the existing row with the latest event information.
False Path (No Match): The data proceeds to the Google Sheets n8n node (Add to Sheet1) to append the calendar event as a new row in the sheet.

Installation Guide

To install and utilize this robust n8n template, follow these steps:


  1. Import: Copy the provided n8n workflow JSON data and paste it into your n8n instance via the 'New' menu -> 'Import from JSON'.

  2. Credentials: You will need to set up credentials for both Google Calendar and Google Sheets. Click the gear icon next to the relevant n8n node (Get Events1, Get Rows1, Update Sheet1, Add to Sheet1) and authenticate your Google account, ensuring you grant permissions for both services.

  3. Configure Calendar: In the Get Events1 n8n node, select the specific Google Calendar you wish to track.

  4. Configure Sheet: In all Google Sheets n8n nodes (Get Rows1, Update Sheet1, Add to Sheet1), specify the correct Spreadsheet ID and Sheet Name where the event data should be tracked.

  5. Activate: Once configured, enable the n8n workflow by setting the toggle switch from 'Inactive' to 'Active'. The scheduled n8n trigger will begin running the synchronization automatically.

Node Details

Schedule Trigger (n8n trigger): Sets the automation frequency (e.g., every 1 minute). This defines when the n8n workflow starts checking for updates.
Google Calendar (n8n node - Get Events1): Fetches recent events from the specified calendar, providing the input data for the n8n workflow.
IF (n8n node - Check for Empty Events1): A flow control gate. Ensures the subsequent intensive steps are only executed if new data is available.
Split In Batches (n8n node - Loop Over Events & Rows1): Essential for synchronization logic. It separates the list of events into single items, allowing the subsequent Google Sheets n8n node (Get Rows1) to fetch the sheet data once, and then processes the comparison logic for each event item.
Google Sheets (n8n node - Get Rows1): Fetches the existing data from the target spreadsheet. Note that this n8n node is configured with executeOnce: true in the batch loop, ensuring sheet data is fetched efficiently.
Code (n8n node - Match Events vs Rows1): Contains the custom JavaScript logic to compare the incoming calendar event against the existing sheet rows to determine if it is a match requiring an update.
IF (n8n node - Check for Match1): Uses the output of the Code n8n node to dynamically route the data path: either to update an existing row or to add a new one.
Google Sheets (n8n node - Update Sheet1 / Add to Sheet1): The final action n8n nodes. Performs the 'Update Row' or 'Append Row' operation based on the flow control decision, finalizing the synchronization process within the n8n workflow.
